We’re seeking a friendly, organized, and proactive Patient Coordinator to join our team. In this role, you will serve as a key point of contact for our families — helping schedule appointments, guide patients through their visit experience, manage communications, and ensure that each family leaves feeling well-cared for. Your work will help create positive dental experiences for children and their parents alike.

Job Duties/Responsibilities:

  • Greet and welcome families when they arrive, creating a warm, positive first impression
  • Answer phone calls, respond to inquiries from new and existing patients, and assist in scheduling appointments
  • Manage the patient check-in and check-out process: confirm insurance/financing information, collect payments, update patient records
  • Communicate with parents/guardians about treatment plans, follow-up appointments, and care instructions
  • Maintain accurate, up-to-date patient records and coordinate with dental/orthodontic staff to ensure smooth transitions and continuity of care
  • Assist with patient recall efforts, appointment reminders, and follow-up communications
  • Work closely with clinical and administrative teams to ensure efficient office operations and high-quality patient service
  • Support billing/finance tasks as needed (insurance verification, claims follow-up, payment arrangements)
  • Contribute to creating a welcoming, family-friendly environment — helping children feel comfortable and parents feel confident in our care
  • Perform other duties and responsibilities as assigned by management

Qualifications:

  • High school diploma or equivalent; additional education or certifications in dental administration or similar are a plus
  • Previous experience in a dental, orthodontic, or healthcare-front desk role preferred
  • Strong interpersonal skills: warm, patient-focused, excellent communicator (both verbal and written)
  • Organized and detail-oriented with the ability to manage multiple tasks and priorities in a busy office setting
  • Ability to maintain confidentiality and adhere to all HIPAA/healthcare privacy guidelines
