We’re seeking a friendly, organized, and proactive Patient Coordinator to join our team. In this role, you will serve as a key point of contact for our families — helping schedule appointments, guide patients through their visit experience, manage communications, and ensure that each family leaves feeling well-cared for. Job Duties/Responsibilities:
- Greet and welcome families when they arrive, creating a warm, positive first impression
- Answer phone calls, respond to inquiries from new and existing patients, and assist in scheduling appointments
- Manage the patient check-in and check-out process: confirm insurance/financing information, collect payments, update patient records
- Communicate with parents/guardians about treatment plans, follow-up appointments, and care instructions
- Maintain accurate, up-to-date patient records and coordinate with dental/orthodontic staff to ensure smooth transitions and continuity of care
- Assist with patient recall efforts, appointment reminders, and follow-up communications
- Work closely with clinical and administrative teams to ensure efficient office operations and high-quality patient service
- Support billing/finance tasks as needed (insurance verification, claims follow-up, payment arrangements)
- Contribute to creating a welcoming, family-friendly environment — helping children feel comfortable and parents feel confident in our care
- Perform other duties and responsibilities as assigned by management
Qualifications:
- High school diploma or equivalent; additional education or certifications in dental administration or similar are a plus
- Previous experience in a dental, orthodontic, or healthcare-front desk role preferred
- Strong interpersonal skills: warm, patient-focused, excellent communicator (both verbal and written)
- Organized and detail-oriented with the ability to manage multiple tasks and priorities in a busy office setting
- Ability to maintain confidentiality and adhere to all HIPAA/healthcare privacy guidelines
