Job Description

The Sales Administration Coordinator will support the Sales Department by managing daily administrative tasks. This role includes coordinating sales scheduling, inventory control, purchase orders, and shipping activities. The coordinator will facilitate communication between Sales, Customer Service, Traffic, and Production teams to ensure smooth order processing and customer satisfaction.

Duties and Responsibilities:

  • Manage daily sales administration tasks, including sales scheduling, inventory monitoring, purchase order processing, and shipment coordination.

  • Coordinate branded sales activities and maintain communication with the Customer Service Team, Traffic Department, and Sales Scheduling to support sales operations.

  • Receive and review customer orders and EDI notifications from Customer Service, ensuring accuracy and providing order confirmation to customers.

  • Follow up and expedite production as needed to fulfill orders, assist with outbound freight rate acquisition, and maintain relevant sales documentation.

  • Respond promptly to customer inquiries and resolve issues via phone and email.

  • Communicate shipment updates, schedule changes, and other relevant information to internal departments and customers.

  • Generate sales and open order reports upon request.

  • Support the Sales team by coordinating with other departments and managing sample requests.

  • Perform other duties as assigned.

Required Skills/Abilities:

  • Proficient in Microsoft Word, Excel, and PowerPoint (intermediate level).

  • Strong communication skills, including active listening, business writing, and customer service orientation.

  • Ability to coordinate across departments and manage multiple tasks simultaneously.

  • Problem-solving skills with attention to detail.

  • Fluency in English; additional language skills are a plus.

Education and Experience:

  • Bachelor’s degree in Business Administration or related field.

  • Minimum 2-3 years of experience in an office or sales support environment.

Work Environment and Physical Demands:

  • This is a full-time, on-site position, typically Monday through Friday, 9:00 a.m. to 5:30 p.m., with occasional evening hours.

  • Work is primarily performed in a professional office environment using standard office equipment (computers, phones, photocopiers, etc.).

  • Requires the ability to talk, hear, and walk regularly. Occasional visits to warehouse and plant areas may be required.

  • Ability to lift and carry office supplies and materials up to 20 pounds, including files and boxes.
