Physical Requirements:
The employee is regularly required to talk and hear. The employee is regularly required to sit, stand and walk. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. The employee must occasionally bend and stoop. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust and focus.
Qualifications:
Graduation from CMA program and CMA certification. Excellent verbal and written communication skills are required for this job. The employee must have the ability to operate computer systems. The employee must be friendly and personable.
Basic Function:
The employee is part of the front office and clinical staff will be required to perform all duties of the front office and clinical area. The employee is responsible for registration including greeting patients, securing and entering accurate data as required, answering the phones, scheduling appointments and routing calls appropriately, processes release of records to patients and to other facilities. Knowledge of ophthalmic anatomy, eye diseases, and common treatment procedures. Exceptional attention to detail and accuracy in documentation. Ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment. Demonstrated commitment to patient care and safety. Professional demeanor and the ability to maintain patient confidentiality.
Duties and Responsibilities:
- Provides great Customer Service by welcoming patients and maintaining a positive atmosphere in waiting room.
- Shares the responsibility of keeping work area, waiting room and patient restroom tidy.
- Processes release of records appropriately.
- Tracks no-shows in the electronic record, along with mailing no-show letters.
- Reports daily numbers and performs TOS Manage for collections
- Answers incoming calls and routes appropriately.
- Schedule patient’s appointments. This includes entering and updating patient data in the computer system and informing patients of any preparation needed for the visit.
- Check-in all patients - this includes verifying patient information for Est. And New patients.
- Verify and scan insurance cards
- Collecting insurance copay and out of pocket amounts for outstanding balances
- Assist with Bank Deposits
- Assist with Artificial Tears Drug reps for AT Supply
- Assist with medical clearance paperwork for Dr. Rashid surgeries
- Check-out all patients - this includes scheduling follow-up appointments, work/school excuses, daily close/deposit slip, collect refraction fees.
- Assist with all contact lenses orders for patients and trial contact lenses from manufacturers.
- Assist with contact lenses inventory
- Scans all forms, excuses, and documents for Dr. Rashid
- Answer all incoming calls (PCC doesn't take these calls), schedules patients for appts, assist with refills of Mx’s
- Completes all incoming and outgoing referrals
- Assist with dispensing contacts to CTL wearers
- Clean and disinfect all Ophthalmology machines. Opening/Closing
- COA/COT duties as requested.
- Check clinic schedules daily for any changes for the following day.
- Assisting MD with any procedures as needed
- Delegate duties such as calling in medications into pharmacy, prepping charts for upcoming weeks
- Patient Preparation & Testing: Conducting preliminary tests like visual acuity, visual field testing, and optical coherence tomography (OCT) for ON, and Macula.
- Diagnostic Procedures: Performing tests such as applanation tonometry, refraction, and retinoscopy, B-Scans, AR
- Assisting with Procedures: Preparing examination rooms, assisting with minor surgical procedures, and administering medications under doctor's supervision.
- Patient Education: Explaining eye care, treatment plans, and proper use of medications and contact lenses.
- Equipment Maintenance: Ensuring all equipment is sterilized and operational.
- Coordination: Assisting with patient flow and scheduling appointments.
- Inventory Management: May assist with ordering supplies.
- Manage patient flow efficiently, ensuring minimal wait times and a smooth patient experience.
