Job Overview: We are seeking an organized and detail-oriented Office Manager to oversee the essential administrative and financial functions of our business. The ideal candidate will excel at multitasking, problem-solving, and contributing to our team’s efficiency and growth.

Key Responsibilities:

Client Support:

Maintain clear and professional communication with clients, vendors, and internal staff to ensure efficient operations and resolve issues promptly.

Financial Management:

· Accounts Receivable: Electronically deposit client checks into various accounts.

· Accounts Payable: Verify transactions against tickets and issue vendor payments.

· Payroll Processing: Process weekly payroll, prepare quarterly filings (941s, NHES, MEES, MAES), and create journal entries for payroll and tax reclassification.

Reconciliation and Reporting:

· Prepare monthly journal entries for payroll reclassification, payroll tax reclassification, prepaid expenses, and inventory reconciliation.

· Reconcile financial accounts monthly, including company credit cards, checking accounts, and employee retirement plans.

· Manage client invoices.

Administrative Support:

· Monitor and adjust licenses, contracts, and software distributor sync notifications to ensure accurate client billing.

· Manage monthly technician expense reports.

Desired Qualifications:

· Office Tools: Familiarity with MS Office Suite, QuickBooks, Autotask, and reconciliation tools.

· Payroll: Familiarity with payroll processing and tax filings.

· Attention to Detail: High level of attention to detail and commitment to accuracy.

· Time Management and Organizational Skills: Ability to prioritize responsibilities in a fast-paced and dynamic IT environment.

· Problem-Solving Mindset: Strong aptitude for identifying and resolving discrepancies, especially in reconciliation tasks.

· Adaptability: Experience working with rapidly changing technologies and environments.

· Exceptional Communication Skills: Exceptional verbal and written communication skills, with the ability to convey complex information clearly and concisely to diverse audiences.
