Duties

• Operate multi-line phone systems efficiently, directing calls accurately to appropriate departments or personnel.
• Greet visitors courteously and assist with check-in procedures at the front desk.
• Handle incoming inquiries via phone, email, or in person with professionalism and clarity.
• Maintain detailed records of calls and messages, ensuring timely delivery to relevant staff members.
• Support dispatching activities by relaying messages or instructions promptly and accurately.
• Perform data entry tasks related to visitor logs, call records, and administrative documentation.
• Manage clerical responsibilities such as filing, photocopying, and maintaining office supplies.
• Assist with general administrative duties to support daily office operations.
• Collaborate with team members to ensure smooth communication flow across departments.
• Uphold high standards of phone etiquette and customer service at all times.

Requirements

• Proven experience as a switchboard operator or in a similar front desk or clerical role.
• Multilingual or bilingual abilities are highly desirable to serve diverse populations effectively.
• Proficiency with multi-line phone systems and basic data entry software.
• Excellent communication skills, both verbal and written.
• Strong organizational skills with keen attention to detail.
• Previous clerical or administrative experience preferred.
• Ability to handle multiple tasks efficiently in a fast-paced environment.
• Demonstrated professionalism and courteous demeanor when interacting with visitors and callers.
• Typing skills sufficient for accurate data entry and record keeping.
