Key Responsibilities:
- Greet and welcome all visitors with warmth, professionalism, and a smile.
- Answer and direct phone calls using RingCentral; screen calls and relay messages accurately.
- Maintain a clean, tidy, and fully stocked front desk and reception area.
- Organize office supplies, restock breakroom and vending machines, and manage vendor relationships.
- Receive and distribute mail, packages, and deliveries.
- Issue visitor badges, maintain visitor logs, and support basic office security protocols.
- Schedule and manage conference room bookings, meeting setups, and cleanups (as needed).
- Order catering and refreshments for meeting/events.
- Arrange travel, lodging, and itineraries for staff members and guests, as needed.
- Assist with planning and executing in house events, recognitions, and celebrations.
- Manage internal office calendars, filing systems, and support day-to-day clerical tasks.
- Participate in company related events throughout the Coachella Valley, as needed.
- Support special projects such as; internal initiatives, external events, and community involvement.
Key Qualifications:
- 2+ years of office and/or front desk experience
- Proficient in Microsoft Office Suite and MacOS
- Excellent verbal and written communicator
- High School Diploma or above
- Ability to multitask, stay organized, and remain calm under pressure
- Professional demeanor, punctual, and a 'can-do' attitude
- Ability to handle confidential information with discretion and integrity
- Comfortable working in a independent role, and welcome to collaboration in a team setting
- Available occasionally for evening/weekend support around community or company events
