Position Summary
Reporting to the Associate Medical Director, the Care Team Supervisor provides oversight for the functions required to assist Physicians, Physician Assistants, and Advanced Practice Nurses in providing medical care and treatment to patients in the clinic setting. Supervisory duties include staffing, training, performance evaluation, corrective action and separations.
PRINCIPAL RESPONSIBILITIES AND DUTIES:
- Perform all Medical Assistant duties.
- Collaborate with the Director to achieve patient, employee and provider satisfaction.
- Determines appropriate staffing for clinical operations and ensure all areas are covered.
- Post weekly staff schedules in Paylocity.
- Available for MA’s, Director, and Provider’s calls before and after hours.
- Provide MA Supervisor coverage and MA support for other suites.
- Provide clinical coverage in the absence of MA staff.
- Train and provide suite orientation to new employees and students so that continuity and quality of patient care is provided.
- Assist the Director with issues involving the medical office during office hours and outside office hours via phone or email.
- Provides new hire evaluations.
- Writes and delivers MA performance evaluations.
- Provide constrictive criticism to the Medical Assistant for inappropriate behavior, document conversation on the Record of Conversation form and provide to the Director, Clinical Operations.
- Oversees the daily workflow and functions of the clinical staff and ensures that patient flow is smooth and satisfactory.
- Ensure that the schedule for daily huddle with Care Team is completed.
- Ensure all Medical Assistant’s provide quality patient care and treatment.
- Builds a professional, courteous and positive team environment for the assigned Suite and between Suites in which team members respect each other.
- Train Medical Assistant’s to continually improve performance and skills.
- Liaison for the Medical Assistants.
- Maintain Medical Assistant schedules, assign lunches, lunch coverage and provide schedule to the MA’s weekly.
- Coordinates scheduled pharmaceutical rep visits and lunches.
- Assist provider’s to complete medical forms and letters (i.e. FMLA, Disability Forms and Letters of Medical Necessity, etc.).
- Conduct Prior Authorizations.
- Assist and complete Insurance and IPG Projects (i.e. Asthma Action, Diabetic, Cardiovascular, Immunizations and Wellness etc.).
- Attend all mandatory staff meetings.
- E-scribing medication to the pharmacy.
- Obtain immunization records from I-Care.
- Record refrigerator temperatures in the I-Care System.
- Ensures that Revenue Cycle Clinic Close Reports are printed at the end of clinic.
- Conduct, participate and provide all pertinent information during the daily huddles with the Medical Assistants/Patient Service Associates and Providers.
- Anticipate and communicate the needs of the suite to all staff and providers.
- Maintain general appearance and cleanliness of center suites.
- Greet walk in patients, determine needs and respond appropriately.
- Order and inventory all suite medical and clerical supplies.
- Delegate assignments needed to ensure the suite operates efficiently.
- Ensure suite equipment is working properly and to report malfunctioning equipment to appropriate person.
- Ensure proper disposal of contaminated and disposable items.
- Report patient and employee concerns to the Director, Clinical Operations.
- Randomly review log book documentation.
- Ensure that STI reports are completed and faxed to the Board of Health.
- The MA Supervisor must be able to uphold the standards and mission of FCHC with a good attitude and compassion towards patients and staff members.
- Ensures all work will be performed according to company policies, procedures and standards in the employee handbook and ongoing policy changes.
- Will hold all team members to a high standard of performance.
- Ensures that all staff in the suite maintains patient confidence and protects operations by keeping patient care information confidential as required by Health Insurance Portability and Accountability Act
- Ensures that all Medical Assistants practice and adhere to the Blood Borne Pathogen Policy as required by the Occupational Safety and Hazard Administration.
- Perform other duties as assigned.
Education, Training and Skills:
- High School Diploma or equivalent
- CPR Certified.
- Medical Assistant certification from an accredited program
- Minimum of three years work experience in clinical office setting
- Minimum two years of experience as a supervisor, preferably in a clinical setting
- Experience working with EMR.
- Medical Terminology.
- Demonstrate competence in performing specific Medical Assistant skills such as: vital signs and administering injections.
- Proven ability to provide excellent customer service such as: having a positive attitude towards patients, co-workers, direct reports and providers, being adaptable in stressful situations in all verbal and written communications.
- Ability to interpret and apply administrative policies and procedures.
- Excellent verbal and written communication skills.
- Ability to maintain effective and organized systems to ensure timely patient flow.
- Ability to prioritize and manage multiple tasks and responsibilities.
- Proficient in Microsoft Office (i.e. Outlook, Word and Excel).
