Job Title: Billing & Insurance Specialist / Office Supervisor

Kinetic Physical Therapy Institute is a private practice physical therapy clinic located in Woodbury, MN. With 5 providers on staff, our clinic is small but busy. We opened in 2005 and are co-owned by two of our physical therapists.
Position Summary: Enthusiastic individual sought to coordinate and oversee activities of our physical therapy clinic to ensure compassionate delivery of high-quality care to patients. Reports to practice owners (2 of the physical therapists). Successful applicants will have at least 3 years of previous healthcare work experience. Timeline: Training to start in November or December 2022 with our current office manager/billing & insurance specialist. Takeover of all non-claims processing duties by 1/1/2023. When ready, new office manager will be trained on processing and submitting claims.
Billing & Insurance Specialist / Office Manager Responsibilities:
· Develop and implement policies and procedures along with co-owners
· Manage all aspects of patient registration, scheduling, insurance verification, reception, medical records, electronic communication, and insurance billing.
· Manage and adjust workflow best practices
· Ensure clinical policies and procedures comply with current state and federal laws, along with OSHA and HIPAA requirements
· Assist with patient care when needed
· Perform front desk duties 1 day a week and as needed for coverage
· Verify insurance on all new patients
· Process and follow up on all claims and insurance payments (including appeals)
· Submits and processes prior authorizations and precertification applications
· Supervise, train, and evaluate office staff
· Hire and train new office staff
· Run monthly reports as needed
· Discuss insurance issues with patients
· Collaborate with providers and office staff
· Troubleshoot technical issues / issues with our EMR
· Work closely with referring providers / clinics
· Manage a variety of personalities (staff within the clinic, outside providers, patients, insurance companies, etc...)
· Maintain a patient-friendly atmosphere and process complaints as needed
· Perform all other duties as assigned

Education and Experience:
· High school diploma or equivalent required
· At least 3 years of applicable experience in healthcare, administration, operations, or a related field preferred
· Associate’s degree or higher preferred
· Supervisory or team lead experience preferred
· Prior experience working with Electronic Medical Records / EMR software (familiarity with eClinicalWorks a plus)
· Insurance, referral, and/or medical billing experience required
Work Environment:
· Medical Office
· Fast paced
· Small/Intimate Clinic (5 providers, 7 employees total)
Physical Demands:
· Turning over rooms frequently and rooming patients (walking around the clinic, cleaning rooms, doing laundry)
· Frequent use of computer, keyboard, mouse, phones, paper verification forms
· May need to move treatment tables or other heavy equipment when cleaning rooms (with assistance if needed) – infrequently
Commute:
· Ability to commute reliably to Woodbury, MN at all times of the year
