We Are Looking For
The Sr. Talent Acquisition Specialist will manage important administrative tasks and will handle confidential information, ensuring compliance with federal onboarding regulations, process background checks, and assist with onboarding new hires through ADP Workforce Now (WFN). They will process I-9s through E-Verify, and ensure the timely completion of onboarding documents. This role will play a crucial role in attracting, sourcing, and selecting top-tier talent to meet our organization's staffing needs. As a TA Partner you will be collaborating with hiring managers, developing innovative recruitment strategies, and ensuring a seamless candidate experience from application to onboarding. The expectation is that you will have a requisition load that is aligned with the coordination responsibilities, so about half of the amount of a full load of requisitions (aprox. 4-6). The requisition load may grow as you become more proficient with the systems or as the systems become more automated.
What You'll Do (Responsibilities)
- Maintain accurate and up-to-date records of candidate interactions and recruitment activities in the applicant tracking system (ATS)
- Post job openings on various job boards and social media platforms to attract a diverse pool of candidates
- Assist with managing job advertisements on various platforms
- Process background checks, and reference checks for candidates
- Welcome new hires on their first day of onboarding, ensuring they feel comfortable and have the resources they need to start successfully
- Assist with the onboarding of new hires, including coordinating paperwork, and processing I-9s through E-Verify
- File onboarding documents into new hires' ADP e-profiles, ensuring compliance with internal processes
- Keep the shared Talent Acquisition inbox organized, responding to inquiries and emails in a timely manner
- Ensure candidates can handle confidential information, and ensure compliance with federal and state employment laws and regulations
- Conduct initial screenings and assessments of candidates to evaluate their qualifications, experience, and cultural fit
- Build and maintain a strong talent pipeline for current and future hiring needs
- Communicate effectively with candidates, keeping them informed about their application status and next steps
- Address candidate inquiries and concerns promptly and professionally
- Coordinate interview schedules between candidates and hiring teams, ensuring a seamless and efficient process
- Maintain open lines of communication with stakeholders, providing regular updates on recruitment progress and challenges
- Contribute to employer branding efforts by promoting the organization's values, culture, and opportunities to potential candidates
- Collaborate with HR and hiring managers to ensure a smooth transition for selected candidates from offer acceptance to onboarding
- Provide a positive and professional candidate experience throughout the recruitment process
- Perform other duties as assigned
What You Bring (Qualifications & Skills):
- Bachelor’s degree in Business Administration, Human Resources or related field
- 3-5 years experience, preferably in HR or talent acquisition
- SHRM or HR Certification is a plus
- Highly proficient in MS Excel (v-lookups, pivot tables, formulas, and functions), recruiting software, and ATS
- Excellent verbal & written communication skills
- Proven ability to work both independently and collaboratively with different levels of employees
- Strong organizational skills and attention to detail
- Knowledge of recruiting practices, labor laws, and industry trends
- Ability to work in a fast-paced environment and handle multiple priorities
- Ability to maintain confidentiality and handle sensitive information
- Knowledge of federal and state employment laws and regulations
- Ability to meet deadlines quickly and accurately, multi-task, and work well under pressure with changing priorities
- Enthusiasm for talent acquisition and an interest in the field of HR is a plus
- Ability to support and manage their time for each upcoming projects
Special Requirements:
- U.S. Citizen, U.S. Permanent Resident (Green Card holder) or asylee/refugee status as defined by 8 U.S.C. 1324b(a)(3) required.

- 120.15. Some positions will require current U.S. Citizenship due to contract requirements.
