Job Title: Executive Assistant to CEO of Mistral Inc. & Human Resource Representative
Reports to: CEO and COO
Job Type: Full-time and on-site
Position Summary:
The Executive Assistant & Human Resources Representative is a dual-role position responsible for providing high-level administrative support to the CEO, while managing key human resources functions. This individual will ensure smooth day-to-day operations, maintain confidentiality, and foster a positive and compliant work environment. The ideal candidate is detail-oriented, proactive, and experienced in both executive support and HR leadership.
This is a full-time, in-person position based at our primary office location in Bethesda, MD. The employee may be required to travel to the company’s second location in Nottingham, MD, as needed, using their own reliable transportation.
Key Responsibilities
Executive Support:
- Manage calendars, schedule meetings, and coordinate travel arrangements for the CEO.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Serve as the liaison between the CEO and external stakeholders.
- Handle confidential information with discretion and professionalism.
- Organize and coordinate executive-level meetings, including agenda preparation and minute-taking.
- Assists with other departments as needed for projects, events, etc.
Human Resources Representative:
- Oversee the full employee lifecycle, including recruitment, onboarding, performance reviews, and offboarding. In this role, the Human Resources Representative will also be responsible for overseeing and administering the training of new hires.
- Ensure proper record keeping, facilitate company-wide communication, and assist with wage and salary administration.
- Manage the company’s leave of absence and workplace accommodation requests.
- With the assistance of Company’s in-house counsel, maintain and update HR policies, procedures, and employee handbook in compliance with legal and regulatory requirements. The Human Resources Representative will also be responsible for ensuring company-wide compliance with established personnel policies and procedures and will act in concert with the management team as directed to enforce personnel policies and procedures.
- Serve as the point of contact for employee relations issues, providing guidance and ensuring fair resolution.
- With the assistance of Mistral’s accounting team, manage benefits administration, payroll coordination, and employee records. Benefits administration includes, but is not limited to, managing the logistics for open enrollment activities, including employee education sessions. The Human Resources Representative will also be responsible for overseeing benefit plan communications and ensuring employees’ questions and matters are handled quickly and effectively.
- Ensure compliance with labor laws, EEO regulations, and workplace safety standards.
- Develop and implement HR strategies aligned with organizational goals.
- Coordinate employee engagement initiatives, training, and development programs.
Qualifications:
- Bachelor’s degree in human resources, business administration, or related field (Master’s degree or HR certification preferred).
- 5+ years of experience in a similar combined executive assistant and HR role.
- Strong knowledge of employment laws and HR best practices.
- Excellent organizational, communication, and interpersonal skills.
- Proficiency in Microsoft Office Suite and HR software (e.g., ADP, Paychex, BambooHR).
- Ability to handle sensitive and confidential information with integrity.
- Exceptional time management skills and the ability to prioritize multiple tasks.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Must have a valid driver’s license and access to reliable transportation for occasional travel to the company’s second location.
