Job Description
Boutique Family Office | Midtown Manhattan, NYC | $50,000–$70,000, health benefits
Schedule:• Monday–Friday, 9:00 AM – 5:00 PM (in-person)• Option for a 4-day workweek (compensation adjusted accordingly)
About the Role
This is not a task-by-task, heavily directed role. We are looking for someone who naturally “runs the room”—someone who appreciates the nuances of excellent service, anticipates needs, and acts without being asked. You enjoy being the backbone of a well-functioning office and take ownership over both the environment and the experience of those in it.
What a Day Might Look Like
You arrive in the morning and immediately notice the office is too cold—you adjust the temperature without hesitation. One of the executives walks in, and you’ve already grabbed their coffee, prepared according to their preference. You’re aware of a scheduled meeting with business associates, so you prepare the conference room in advance, greet guests warmly upon arrival, pass around refreshments you ordered that morning, and ensure everyone is comfortable and settled. You engage naturally in conversation, representing the office with confidence and positive energy. Throughout the day, you stay one step ahead, organizing, coordinating, and keeping things moving, based on both the days tasks and your own intuition.
Key Responsibilities
• Manage day-to-day office operations and environment• Provide high-touch administrative support to two executives• Coordinate meetings, prepare conference rooms, and host guests• Anticipate executive needs and proactively solve problems• Handle scheduling, communications, and general organization• Maintain a polished, welcoming office atmosphere
What We’re Looking For
• Highly proactive with strong instincts and attention to detail• Polished, professional, and confident in demeanor and communication• Naturally organized with a strong sense of ownership• Quick learner who thrives in a dynamic environment• Comfortable interacting with high-level guests and stakeholders• Minimal need for hand-holding—able to take initiative and run with it
