About the Role

We are a small outpatient psychiatric practice looking for a motivated, organized, and compassionate Medical Office Coordinator to be the backbone of our day-to-day operations. This is a versatile, front-and-back office role — the right candidate is comfortable wearing many hats and thrives in a small, patient-centered environment.

Responsibilities

• Serve as the primary point of contact for patients — greeting, checking in, and managing patient relations with professionalism and sensitivity
• Schedule and confirm appointments; manage the patient calendar and provider schedule
• Obtain and verify insurance eligibility and benefits prior to appointments
• Perform medical billing and coding using Tebra (formerly Kareo), including claim submission, payment posting, and follow-up on denials
• Apply appropriate psychiatric CPT and ICD-10 codes accurately
• Take and document patient vitals at each visit
• Maintain accurate and up-to-date patient records in compliance with HIPAA
• Handle prior authorizations and referrals as needed
• Collect co-pays and patient balances; manage accounts receivable

Qualifications

• High school diploma required; associate's degree or medical office certification preferred
• Experience with Tebra (Kareo) strongly preferred
• Background in medical billing and coding required, with psychiatric billing experience a significant plus
• Familiarity with psychiatric CPT codes (e.g., 90791, 90837, 99213–99215) and common payers (Medicare, Medicaid, commercial insurance)
• Experience taking patient vitals
• Strong interpersonal skills — able to interact with patients dealing with mental health challenges with empathy and discretion
• Highly organized, detail-oriented, and able to work independently in a small office
• Proficiency with standard office software and EHR/practice management systems
