JOB SUMMARY:
The Director of Intake will be responsible for overall operations of the Intake Department by managing the Intake personnel to ensure all information needed to acquire reimbursement for services is obtained at the start of care and ensures all principles of managing Intake is handled appropriately. Additional dimensions may include working with operating budget, revenue responsibility, purchasing responsibility, etc. Ensures company’s goals and objectives are aligned with the organization’s broader mission, vision, and driving strategies. Directly accountable and reports to the Sr. VP of Operations /VP of Clinical.
MAJOR DUTIES AND RESPONSIBILITIES:
- Oversees the intake process by managing eligibility, authorization, changes in orders, negotiated rates, financial obligation documents and all necessary payor information for all services rendered by the company.
- Protects the assets of the organization through effective internal controls, internal auditing and supervision of Intake Department operations. Resolve discrepancies, concerns, and irregularities.
- Manage supervisors and Intake Reps in performance of their duties ensuring proper training and customer service levels are met, auditing quality of work performed by staff, and ensuring operational flow of department is optimal, monitoring of customer service via telephone calls, fax, email and internet access to improve service and outcomes.
- Collaborates with third party payer administrators, Contract Management Group and Business Development staff on contract issues.
- Submit information to Contract Management and Business Development staff regarding contract issues as they affect revenue and sales. Notifies appropriate staff of changes in contract arrangements or updates in third party payer guidelines.
- Manage and ensure intake processes are compliant with ACHC and government regulations.
- Effectively develop and manage the Intake Department fiscal budget.
- Perform management duties including hiring, evaluating, training, development, and disciplining of staff.
- Participate in overall management of location(s) by meeting with General Manager and other Department managers to review operations, discuss and formulate resolutions to outstanding issues while maintaining and fostering an atmosphere of cooperation between departments.
- Performs other related duties as directed by manager.
SKILLS AND ABILITIES:
- Prior knowledge of intake and authorization guidelines, regulations and standards for home infusion and home health required.
- Knowledge and experience of insurance verification, authorization and eligibility process.
- Strong negotiation skills to negotiate patient specific financial arrangements.
- Possess and exhibit advanced leadership skills, consulting skills and communication skills (oral, written and presentation) with ability to communicate with all levels of staff and customer base.
- Ability to interact with co-workers, staff members and clients with courteousness, respect, professionalism, and diplomacy in a fast-paced environment in both group settings and one- to-one interactions.
- Intermediate to advanced skills in Microsoft Office including Word, Excel, PowerPoint, Outlook, and CPR+ software systems.
- Ability to make strategic, operational and administrative decisions in response to emerging conditions and environmental circumstances; innovative and flexible; ability to exercise good, professional judgment and accept responsibility.
- Ability to work independently, organize workload of self and staff, complete reports/projects per established timelines, delegating work to staff and provide follow up as needed.
- Excellent interpersonal skills and ability to provide excellent internal and external customer service.
- Adheres to stated policies and procedures, federal and state regulations related to health and safety, HIPAA, and quality management.
- Must have ability to maintain a high level of confidentiality concerning materials and conversations with staff, management, patients and third-party payer administrators.
EDUCATION AND/OR EXPERIENCE:
• 5 years’ experience in billing and/or intake management of infusion required and minimum.
• At least 2 years’ management experience.
