Compensation: $17-18 hour (based on experience)

Job Summary:

We are looking for a reliable and detail-oriented Medical Office Associate to join our Chicago-based medical office. The ideal candidate will play a key role in patient engagement and administrative support, including billing and insurance tasks. Key Responsibilities:

Patient Engagement:

  • Greet patients in a friendly and professional manner.

  • Assist with check-in/check-out procedures, including verifying personal and insurance information.

  • Schedule appointments, follow-ups, and manage cancellations or rescheduling.

  • Respond promptly to patient inquiries via phone, email, or in-person.

Administrative and Billing Support:

  • Collect co-pays, process payments, and provide receipts.

  • Submit and track insurance claims, ensuring timely resolution of billing issues.

  • Verify insurance coverage and pre-authorizations as needed.

  • Generate billing statements and support patients with billing-related questions.

  • Maintain accurate and updated patient records in electronic medical record (EMR) systems.

Office Operations:

  • Ensure smooth daily operations by maintaining organized schedules and files.

  • Monitor office supplies and assist in reordering when necessary.

  • Maintain cleanliness and organization of the reception and waiting areas.

  • Coordinate with clinical staff to ensure patient flow is efficient and timely.

Compliance and Confidentiality:

  • Follow HIPAA regulations and office policies to ensure patient information remains confidential.

  • Stay up to date on best practices for patient data management and billing procedures.

Qualifications:

Education and Experience:

  • High school diploma or equivalent (required); additional certifications in medical billing or administration (preferred).

  • Previous experience in a medical office or healthcare setting, including billing and insurance tasks (preferred).

Skills:

  • Strong proficiency with EMR systems and billing software.

  • Knowledge of medical billing, coding, and insurance claims processes.

  • Excellent communication and customer service skills.

  • Strong attention to detail and organizational skills.

  • Ability to multitask and prioritize in a busy office setting.

Work Schedule:

  • Monday, Tuesday, Thursday, Friday with occasional weekends depending on office needs.
