ABA Centers of America provides ABA (Applied Behavior Analysis) therapy and diagnostic services to people with autism. We help clients and families in our centers, in homes, and in the community. Our company began with one person trying to get help for two young family members with autism. Now our goal is to make long waitlists for ABA therapy and autism diagnosis a thing of the past. Our clinics are in multiple locations, and we are growing, but with careful attention to planning and resources. Client care is at the center of everything we do.

POSITION SUMMARY & PURPOSE

As a Client Coordinator, you’ll establish a rapport and an ongoing relationship with clients and families while guiding them through the onboarding process. While delivering the highest possible excellence in customer service standards, your role will be to clearly outline our services and lead the process after initial admissions phone calls. All our team members foster a success-oriented, accountable environment within the company.

POSITIONS’S ESSENTIAL DUTIES & RESPONSIBILITIES

The following are duties and responsibilities that the Client Care Coordinator holds:

  • Creates consistent and efficient schedules for staff and clients.
  • Accurately document client cancellations
  • Accurately document staff cancellations
  • Work with a sense of urgency to make up all missed appointments
  • Ensure clients are scheduled for all treatment plan hours
  • Complete admin duties as requested by direct supervisor
  • Work with other departments on documentation requests
  • Establish and maintain relationships with clients and families
  • Assist with pay to patient as needed
  • Foster a success-oriented, accountable environment within the company
  • Review of client documentation for UR and Billing Purposes
  • Facilitate tours of the facility
  • Stay in communication with referral sources and families
  • To be available to work on weekends, nights, and holidays. Must be available to work overtime when needed
  • Maintain weekly, monthly, and quarterly reports that will be submitted upon request
  • Must follow all defined company policies outlined in the Employee Handbook.

Requirements

Education/Experience and Other Requirements

  • 2-4 years of healthcare experience preferred
  • 4-year degree preferred
  • Knowledge of EMR/EHR and proper documentation
  • Knowledge of medical billing
  • Must maintain clean background/drug screenings and driving record
  • Ability to effectively collaborate with families, clinicians, team members, and service providers in the community
  • Effective organizational, time management, and prioritization skills
  • Proficiency with Microsoft Office Suite and related software
  • Ability to work under pressure to meet deadlines
  • Judgment and problem-solving skills
  • Strong people and communication skills
  • Self-motivation and a “can-do” attitude with an entrepreneurial spirit and a desire to take on an increasing level of responsibility
