Administrative Assistant
Full-Time | Maritime Operations Department
About the Job
We’re looking for an organized, detail‐oriented Administrative Assistant to help support our maritime operations team. In this role, you’ll help keep important vessel records updated, enter data, and assist our manager with the Block Fee Agreement (BFA) program. You don’t need maritime experience to apply—just strong computer skills, good communication, and a willingness to learn.
What You’ll Do
- Handle paperwork and reports related to vessel inspections.
- Enter information from Port State Control (PSC) websites and reports into our systems.
- Help the department manager with the company’s vessel fee program (BFA).
- Update our Waypoint system when new ships join or leave the program.
- Make sure our vessel lists are always accurate and current.
- Support the team with general office tasks and special projects as needed.
What We’re Looking For
- High School diploma or GED required.
- College degree or related experience is a plus.
- Experience in the maritime industry is helpful but not required.
- Strong skills with Microsoft Office (especially Excel, Word, Outlook).
- Good communication, grammar, and writing skills.
- Ability to stay organized, manage multiple tasks, and meet deadlines.
- Team player with a positive attitude.
- Able to lift up to 15–20 lbs.
