Job DescriptionAbout UsThis nonprofit organization provides shelter, resources, and supportive services to families and individuals experiencing homelessness, helping them work toward stable, longterm housing. It operates a communitybased model that brings together local partners, volunteers, and service agencies to offer meals, emergency shelter, lifeskills support, and housing navigation. The organization focuses on traumainformed, equitycentered care to break the cycle of homelessness and support families as they regain independence.
OverviewThis temporary role provides short term administrative, systems, and operations support during an active period of organizational transition. The position will assist with migrating files from Google Drive to SharePoint, supporting facility related projects, and providing general administrative coverage to ensure day to day operations continue smoothly. The ideal candidate is highly organized, comfortable working independently, and able to step into an existing environment, follow direction, and make steady progress on defined projects.
Responsibilities
- File Migration & Systems Support
- Strong proficiency with the Microsoft 365 suite.
- Ideal skills include mid-level proficiency in Excel, Teams, and SharePoint (in that priority order).
- Comfortable using basic team/project management tools (Microsoft Planner is a plus).
- Able to collaborate with staff to create and maintain a structured data folder system with standardized naming conventions and tiered access permissions, preferably within SharePoint.
- Operations & Facility Project Support
- Capable of coordinating project tasks such as scheduling, communication flow, and maintaining records.
- Comfortable working directly with vendors for scheduling, quotes, and coordination.
- Able to research vendors and create decision-support documents to help managers assess options.
- Can develop written communication materials, including manuals, reference guides, and policy documents.
- Assist managers in establishing and maintaining a centralized facility-wide inventory tracking and ordering process.
- Comfortable handling invoices and basic budget tracking.
- General Administrative Support
- Track and maintain routine office supplies.
- Distribute organizational mail to the appropriate staff members.
- Assist in preparing Board of Directors meeting materials by collecting agenda items and distributing packets.
- Confident communicating with diverse groups including staff, volunteers, vendors, and individuals of all ages.
- Comfortable developing and refining administrative processes in collaboration with others.
- Demonstrates excellent time-management skills.
- Provide general administrative support and assist with additional duties as needed.
Qualifications and Skills Experience supporting a team responsible for facility and operations management
Basic familiarity with construction and building systems terminology
Schedule: Temporary position anticipated to last approximately 18 weeks
20 -30 hours per week, with a consistent weekly schedule preferred
Schedule may be flexible within regular business hours
Position is primarily in person, with limited remote work possible depending on tasks
and project needs
Compensation: $24.00 - $30.00 Hourly based on experience
