Position Summary
This dual-role is critical to ensuring a productive workplace by managing daily office operations, coordinating facilities and vendors, and supporting leadership through both executive and general administrative tasks. This role is ideal for a highly organized individual who thrives in a fast-paced, cross-functional environment.
Key Responsibilities
Office Operations
- Oversee daily office functionality, ensuring a clean, organized, and well-stocked workspace
- Coordinate team lunches, in-office catering, and internal team events
- Manage inventory and ordering for office and breakroom supplies
- Support new hire onboarding, including relocations and office orientation
- Serve as primary liaison with building management and service providers
Administrative & Executive Support
- Provide direct administrative support to executives and team members, including travel coordination
- Coordinate training registrations, medical evaluations, and drug testing for applicable employees
- Maintain shared calendars, manage incoming requests and ensure timely follow-ups
- Handle confidential information with discretion and professionalism
Vendor & Facilities Management
- Oversee third-party vendors and service providers (e.g. janitorial, maintenance)
- Address facility needs and repairs, escalating to building management when necessary
Qualifications
Required:
- 4+ years of experience in office management, administrative coordination, or executive assistance
- Excellent organizational and time-management skills
- Strong communication skills, both written and verbal
- Proficiency in Microsoft Office and general office systems
- Ability to manage multiple priorities and maintain confidentiality
Preferred:
- Experience supporting senior executives or leadership teams
- Familiarity with HR processes, procurement, and vendor management
- Background in a fast-paced environment
