Position Overview:
The Operations Manager is a critical leadership role within the Samuel Staten Sr. Pre-Apprenticeship Program (SSSPAP). This position ensures the seamless execution of daily operations, enhances organizational efficiency, and supports the program's mission to provide high-quality training and employment opportunities for participants. The Operations Manager will oversee administrative functions, manage staff, ensure compliance with policies, and coordinate with partners and stakeholders.
Key Responsibilities
Operational Management:
· Oversee the daily operations of SSSPAP to ensure program efficiency and effectiveness.
· Develop and implement operational procedures and policies to enhance program delivery.
· Monitor and evaluate program activities, showing areas for improvement and recommending solutions.
Staff Management:
· Supervise and provide leadership to administrative and operational staff, including Administrative Assistants, Case Managers, and Compliance Officers.
· Conduct regular staff meetings, performance evaluations, and professional development sessions.
· Manage staff schedules, leave requests, and workload assignments.
Program Staffing and Hiring:
· Manage program staffing to ensure all roles are filled with qualified personnel.
· Coordinate recruitment, onboarding, and training of new hires.
· Lead the hiring process for key roles, including Office Managers, Job Developer, Receptionists, Compliance Officers, Senior Case Managers, and instructors.
· Develop and keep job descriptions, interview guides, and candidate evaluation tools.
· Supervise and support administrative staff, Case Managers, Job Developer, Compliance Officers, Receptionists, Office Managers, and Senior Case Managers.
· Ensure adequate staffing levels for program activities and events.
Compliance and Reporting:
· Ensure compliance with grant requirements, organizational policies, and regulatory standards.
· Maintain exact records for audits, reporting, and accountability.
· Prepare operational reports for the Executive Director and other stakeholders.
Partner and Stakeholder Coordination:
· Build and keep strong relationships with contractors, apprenticeship coordinators, and community partners.
· Coordinate events and outreach programs to connect participants with employment opportunities and union applications.
· Represent SSSPAP at community events and industry meetings.
Financial and Resource Management:
· Participate with budget planning, tracking expenses, and ensuring financial accountability.
· Maintain and manage program inventory, including training materials and office supplies.
Process Improvement:
· Lead initiatives to enhance operational efficiency and staff training.
·Develop and implement strategies for task delegation, onboarding, and process automation.
· Ensure effective communication and collaboration across all departments.
Qualifications
Education and Experience:
· Bachelor's degree in business administration, Nonprofit Management, or a related field (required); master's degree preferred.
· Minimum of 5 years of experience in operations management, preferably in workforce development, nonprofit, or training programs.
· Experience supervising staff and managing cross-functional teams.
Skills and Abilities:
·Strong leadership and interpersonal communication skills with the ability to motivate and develop teams.
· Excellent organizational and project management skills.
· Effective communication skills, both written and verbal.
· Proficient in Microsoft Office Suite and operational management software.
· Ability to manage multiple priorities in a demanding environment.
· Critical thinking skills accompanied by a solution-oriented approach.
