Licensed Practical Nurse (LPN)/Office Coordinator
Location: UBMD Primary Care - Addiction Medicine: 850 Hopkins Rd, Williamsville, NY 14221/ Partial Remote
Schedule: Based on 22.5 - 29 hours per week; Required in-office hours: Monday 8 am-5 pm & Thursday 8 am-11 am
Pay Range: $25.00–$27.00/hour
Status: Part-Time, Non-Exempt AA/EOE
About the Role
UBMD Primary Care is seeking a skilled and adaptable Licensed Practical Nurse / Office Coordinator to support our Addiction Medicine clinic. This role combines clinical care, coordination, and operational oversight, making it ideal for someone who thrives in a fast-paced outpatient environment and enjoys both patient interaction and workflow management.

What You'll Do
In this role, you’ll use your clinical knowledge, coordination abilities, and problem-solving skills to ensure smooth clinic operations and high-quality patient care.
Clinical Care & Patient Support
- Escort patients to exam rooms and complete intake (history, vitals)
- Document patient information and update EMR for provider review
- Perform clinical procedures such as:
- Immunizations and injections
- Urinalysis and point-of-care testing
- Assist providers during exams and treatments
- Prepare and maintain exam rooms, equipment, and supplies
- Package and process lab specimens (if applicable)
Care Coordination & Communication
- Communicate care plans, test results, and provider instructions
- Provide patient education related to treatment and medications
- Coordinate testing, follow-ups, and prior authorizations
- Manage patient calls, messages, and pharmacy refill requests
- Serve as a first point of contact for patient concerns and resolve issues effectively
Operations & Clinic Coordination
- Support daily clinic operations, including scheduling patients and staff
- Monitor workflows to ensure efficiency and timely service delivery
- Complete and review provider orders and documentation for accuracy
- Track patient encounters to support appropriate billing and revenue capture
- Maintain clinical and office supply inventory, including ordering medications
- Ensure equipment is functional and arrange service when needed
Team Support & Oversight
- Train and mentor staff to ensure understanding of roles and procedures
- Support performance management processes in collaboration with leadership
- Share key updates and information from meetings with team members
- Promote a collaborative, accountable, and patient-focused environment
Compliancy & Quality
- Follow HIPAA, OSHA, infection control, and safety policies
- Review and maintain standards of patient care
- Ensure documentation, records, and daily tasks are completed accurately and on time

Qualifications
- Active New York State LPN license required
- High School diploma or equivalent required
- 1-2 years of experience in healthcare administration or clinic operations preferred
- Experience supporting or coordinating clinical workflows is helpful
Work Environment
- Fast-paced outpatient clinic setting
- Frequent standing, walking, and patient interaction
- Light lifting (up to 15 lbs)
- Exposure to typical clinical environments and hazards
- Occasional travel to other UBMD Primary Care locations may be required
