Position Overview
The Medical Front Office coordinator will lead the administrative and billing functions of the practice. This dual-role position is ideal for someone with a strong background in both front desk operations and medical billing—especially within a surgical or specialty setting. The manager will work closely with surgeons, patients, staff, and payers to support excellent care coordination and optimal revenue cycle outcomes.
Key Responsibilities
Front Office Operations:

Supervise and support front office staff including schedulers and receptionists.

Manage complex appointment scheduling for new patient consults, pre-ops, and post-op visits, including surgical scheduling.

Oversee patient intake, insurance verification, and pre-authorizations.

Ensure a professional and compassionate patient experience at every interaction.

Train new staff and conduct performance reviews for front office team members.
Billing & Revenue Cycle:

Oversee all aspects of medical billing for surgical and non-surgical services.

Ensure accurate coding of office visits, procedures, and spine surgeries (CPT/ICD-10).

Submit insurance claims and perform timely follow-ups on outstanding claims or denials.

Coordinate pre-authorizations and verify surgical benefits and coverage with insurers.

Monitor collections and patient balances; generate and review A/R reports.

Maintain compliance with HIPAA, payer policies, and current coding guidelines.
Administrative Duties:

Collaborate with clinical and surgical teams to ensure efficient workflow and scheduling.

Develop and implement front office and billing protocols to improve efficiency and patient satisfaction.

Track productivity and prepare regular performance and financial reports.

Stay up-to-date on surgical billing trends, especially for orthopedic and spine procedures.
Qualifications

Minimum 2 years of experience in a medical front office and billing management role, preferably in a surgical or specialty practice.

In-depth understanding of spine surgery billing, including pre-authorizations, modifiers, and global periods.

Proficiency with medical coding (CPT, ICD-10) and electronic health record systems.

Strong leadership, problem-solving, and interpersonal communication skills.

Certified Professional Biller (CPB), Certified Coding Specialist (CCS), or Certified Professional Coder (CPC) preferred.

Experience with EMR/Billing Software used, e.g., Amazing Charts, Athenahealth, Kareo, NextGen is a plus
