Customer Account Coordinator
Job Type: Hourly | Non-Exempt
Reports To: Director, National Accounts
About the Role
The Customer Account Coordinator works closely with assigned customer accounts to ensure Grower Direct Farms (GDF) consistently meets customer programs, expectations, and quality standards. This role serves as a central coordination point between customers, internal departments, and contract growers, with a strong focus on live plant inventory management, communication, and execution accuracy.
Essential Duties and Responsibilities
Account & Inventory Management
- Lead live plant inventory management for assigned customer accounts
- Monitor inventory flow, accuracy, and availability throughout the production and shipping process
- Physically inspect customer product inventory daily
- Communicate inventory status through company inventory systems
- Track advertised items, special programs, and product trials from planning through execution
Customer & Internal Communication
- Receive customer communications and program details and disseminate information internally
- Communicate customer expectations clearly across GDF departments
- Respond to inquiries from customer administrative and planning teams
- Participate in customer conference calls and internal coordination meetings
Product, Systems & Item Maintenance
- Create, maintain, and update items in ERP systems (including Starcom and customer-specific platforms)
- Manage product profiles and ensure item accuracy across systems
- Complete advertising submissions and coordinate pricing updates
Purchasing & Vendor Coordination
- Purchase and manage product care tags, self-adhesive labels, signs, and plastic products
- Organize and submit vendor orders accurately and cost-effectively
- Coordinate execution of special P.O.P. signage and cart signage
Contract Grower Coordination
- Coordinate contract-grown product programs
- Communicate requirements, timelines, and specifications to contract growers
- Provide growers with necessary information and materials
- Monitor product progress through photos, reports, and ongoing communication
Quality Assurance & Documentation
- Monitor quality and assortment of products being shipped
- Gather, organize, and submit product photos and trial documentation
- Coordinate professional photography for online and promotional content
Daily Responsibilities
- Inspect live plant inventory and shipping product quality
- Print, organize, and distribute cart tags, signs, and labels
- Update inventory and item data in enterprise systems
- Communicate inventory status internally
- Coordinate vendor orders and contract grower updates
- Document shipments and product trials with photos and reports
Qualifications & Skills
- Strong organizational and coordination skills
- High attention to detail and follow-through
- Ability to manage multiple priorities in a fast-paced, seasonal environment
- Effective written and verbal communication skills
- Comfort working with ERP systems and customer-specific platforms
- Ability to work cross-functionally with internal teams, vendors, and growers
Work Environment
- Combination of office, greenhouse, and production floor environments
- Periodic physical inspection of live plant inventory required
- Seasonal workload fluctuations, with peak demand in spring
