This is a remote position.

Champion Physical Therapy is looking for an organized, proactive, and people-oriented Administrative Support Specialist to enhance our clinic operations and deliver excellent service to both patients and staff. This role is vital for maintaining smooth administrative workflows and supporting the delivery of high-quality care across our outpatient locations.

Key Responsibilities

  • Greet patients and visitors with warmth and professionalism, offering assistance and ensuring a welcoming experience.

  • Handle day-to-day front office tasks, including answering phones, responding to emails, and managing general correspondence.

  • Schedule and confirm appointments, coordinate patient check-ins, and assist with insurance verification and registration processes.

  • Enter and maintain accurate patient information within record systems, updating demographics, appointment details, and clinical data as needed.

  • Support billing processes by accurately transmitting necessary information to the billing team and resolving any documentation or coding concerns.

  • Maintain clinical and administrative documentation to a high standard—filing, scanning, and organizing records to ensure accessibility and compliance.

  • Assist in managing office inventory—ordering supplies, monitoring stock levels, and working with vendors to ensure timely replenishment.

  • Facilitate inter-departmental communication and collaboration, ensuring administrative processes run efficiently across teams.

  • Contribute to team meetings and quality improvement initiatives by providing feedback on workflow challenges and suggesting positive changes.




Requirements

  • Exceptional organizational skills and attention to detail, with strong verbal and written communication.

  • Friendly, empathetic demeanor and the ability to interact effectively with patients, therapists, and support staff.

  • Proficiency with common office tools (such as word processors, spreadsheets, and email systems). Familiarity with healthcare-related software or EHR systems is a plus.

  • Capable of multitasking and prioritizing responsibilities in a fast-paced clinical environment.

  • Demonstrated reliability, professionalism, and ability to maintain confidentiality and discretion.

  • Previous experience in healthcare administration, front desk operations, or customer service is highly desirable.
