JOB TITLEWorkplace Solutions Specialist / Office Space Planner
POSITION PURPOSEThis position serves as the central contact for office strategies and workplace environment solutions. Working under the general direction of the Facilities Manager, the role coordinates and plans the utilization of new facilities, renovations, layouts, equipment updates, and utilities support. Responsibilities may include modernization, maintenance, and ensuring compliance with Ergonomic, OSHA, and EPA requirements, as well as local, state, and federal codes.
PRINCIPAL DUTIES & RESPONSIBILITIES

  • Office Interior Design – Assist with office layouts, recommendations, fit-outs, furniture purchases, and overall coordination efforts.
  • Space Planning – Set up new or renovate existing areas per company standards for furniture appearance and finishes.
  • Maintenance Oversight – Monitor and coordinate activities of maintenance staff and subcontractors to ensure compliance with schedules and project scope.
  • Ergonomics & Safety – Coordinate with Safety and other departments to ensure ergonomic practices are implemented and followed, including audits for compliance.
  • CAD Utilization – Use Computer-Aided Layout and Planning Systems; AutoCAD proficiency required.
  • Regulatory Compliance – Ensure adherence to OSHA, EPA, federal, state, and local regulations during project activities.
  • Stakeholder Interface – Serve as primary contact with sites and client disciplines to understand organizational direction and evolving workplace needs. Forecast space requirements and develop executable plans aligned with business and market conditions.
  • Programming Discussions – Facilitate discussions on space requirements (headcount growth, allocations, adjacencies, special support needs) with organizational units.
  • Change Management – Execute change management processes for unplanned and special project requests.
  • Occupancy Planning – Ensure occupancy plans align with strategies; establish project goals and objectives, including schedule parameters. Develop project-level and portfolio-level solutions based on program data and recommendations.

REQUIRED KNOWLEDGE, SKILLS & ABILITIES

  • B.S. degree in Architecture, Interior Design, or equivalent education.
  • Proficiency with word processing, spreadsheets, desktop publishing, and CAD software (MS Office Suite including MS Project, PowerPoint, Excel; AutoCAD required).
  • Strong analytical, communication, and spatial visualization skills.
  • High mental/visual application to analyze facilities problems and recommend solutions.
  • 3–5+ years of experience in space planning, interior design, or corporate real estate.
  • Strong understanding of building codes and regulations.
  • Experience with project management and coordination.
  • Excellent communication and presentation skills.
  • Ability to manage multiple projects simultaneously.

PREFERRED SKILLSAdvanced analytical, communication, and spatial visualization skills.
EXPERIENCERequired: 3–5+ years in space planning, interior design, or corporate real estate.
EDUCATIONRequired: B.S. degree in Architecture, Interior Design, or equivalent education.
