Job DescriptionJOB TITLE: Medical secretaryGENERAL SUMMARY OF DUTIES: Responsible for accurately scheduling patient appointments.SUPERVISION RECEIVED: Reports to Practice ManagerSUPERVISION EXERCISED: NoneESSENTIAL FUNCTIONS:
- Provides excellent customer service to patients, co-workers, management, and physicians.
- Participates in scheduling and rescheduling appointments for patients or physicians accurately and timely.
- Verifies patient information at each visit and notes any change accurately.
- Participates in answering the phone in a professional manner and directs calls to the appropriate person.
- Able to take clear understandable telephone messages, enter the messages in the EMR system timely and accurately and forward the message to the appropriate
person.
- Demonstrates the ability to accomplish the required task in the “Clip Program.” This requires getting specific information outlined on a check list provided by the dialysis unit, to the dialysis unit the patient will be receiving treatment prior to the patient’s start date.
- Assist with a variety of clerical and filing duties including the monitoring of the fax line when needed. The ability to scan/index incoming documents in the appropriate location within the chart.
- Maintain a systematic routine to complete requests for medical records copies from outside sources (medical offices).
- Works on various projects as assigned by the Practice Manager.
- Maintains strict patient confidentiality.
- Other tasks as assigned.
EDUCATION: High school diploma GED.EXPERIENCE: Minimum of one-year experience in a health care organization.REQUIREMENTS:50 wpm typing skill preferredKNOWLEDGE:
- Knowledge of managed care industry, clinic policies and procedures.
- Knowledge of office equipment to include phone and computer.
- Knowledge of customer service concepts and techniques.
- Knowledge of office operating policies.
SKILLS:
- Skill in using equipment satisfactorily and processing paperwork/filing adequately.
- Skill in using a calculator.
- Skill in customer service principles by creating excellent relationships with patients.
ABILITIES:
- Ability to communicate clearly and to establish/maintain cooperative relationships with patients, families, physicians, staff, and other customers.
- Ability to organize and prioritize tasks effectively.
- Ability to read, understand and follow oral and written instructions. Can file correctly by alphabetic or numeric systems.
- Ability to understand and interpret policies and regulations.
ENVIROMENTAL/WORKING CONDITIONS:Office setting is well ventilated and well lit.PHYSICAL/MENTAL DEMANDS:Requires sitting and standing associated with a normal office environment.
