Job DescriptionJOB TITLE: Medical secretaryGENERAL SUMMARY OF DUTIES: Responsible for accurately scheduling patient appointments.SUPERVISION RECEIVED: Reports to Practice ManagerSUPERVISION EXERCISED: NoneESSENTIAL FUNCTIONS:

  1. Provides excellent customer service to patients, co-workers, management, and physicians.
  1. Participates in scheduling and rescheduling appointments for patients or physicians accurately and timely.
  1. Verifies patient information at each visit and notes any change accurately.
  1. Participates in answering the phone in a professional manner and directs calls to the appropriate person.
  1. Able to take clear understandable telephone messages, enter the messages in the EMR system timely and accurately and forward the message to the appropriate

person.

  1. Demonstrates the ability to accomplish the required task in the “Clip Program.” This requires getting specific information outlined on a check list provided by the dialysis unit, to the dialysis unit the patient will be receiving treatment prior to the patient’s start date.
  1. Assist with a variety of clerical and filing duties including the monitoring of the fax line when needed. The ability to scan/index incoming documents in the appropriate location within the chart.
  1. Maintain a systematic routine to complete requests for medical records copies from outside sources (medical offices).
  1. Works on various projects as assigned by the Practice Manager.
  1. Maintains strict patient confidentiality.
  1. Other tasks as assigned.

EDUCATION: High school diploma GED.EXPERIENCE: Minimum of one-year experience in a health care organization.REQUIREMENTS:50 wpm typing skill preferredKNOWLEDGE:

  1. Knowledge of managed care industry, clinic policies and procedures.
  1. Knowledge of office equipment to include phone and computer.
  1. Knowledge of customer service concepts and techniques.
  1. Knowledge of office operating policies.

SKILLS:

  1. Skill in using equipment satisfactorily and processing paperwork/filing adequately.
  1. Skill in using a calculator.
  1. Skill in customer service principles by creating excellent relationships with patients.

ABILITIES:

  1. Ability to communicate clearly and to establish/maintain cooperative relationships with patients, families, physicians, staff, and other customers.
  1. Ability to organize and prioritize tasks effectively.
  1. Ability to read, understand and follow oral and written instructions. Can file correctly by alphabetic or numeric systems.
  1. Ability to understand and interpret policies and regulations.

ENVIROMENTAL/WORKING CONDITIONS:Office setting is well ventilated and well lit.PHYSICAL/MENTAL DEMANDS:Requires sitting and standing associated with a normal office environment.
