Job Title: School Secretary

Department: Operations

FLSA Status: Professional, Exempt

Reports to: Operations Manager

Work Schedule: 8 am - 4 pm, Monday-Friday

Compensation: $51,000 - $53,550/year

Position Overview: The role of the School Secretary at Washington Yu Ying PCS provides the first impression of our school to students, families and the community. The ideal candidate for this position must have the ability to perform confidential administrative responsibilities and multitask in a busy environment while exhibiting a positive and pleasant demeanor and exemplary customer service. This position manages the daily student attendance process, assists with student enrollment, and contributes to a positive, safe, and well-rounded school environment for students and manages office procedures, daily school operations,and the front desk.

Key Responsibilities:

  1. Manage daily attendance collection
    • Update attendance in the PowerSchool database
    • Liaise with teachers and campus principals to ensure accurate collection daily
    • Manage late arrivals
    • Update the daily dismissal lists (The One List)
  2. Support management of National School Lunch Program (NSLP) needs
    • Distribute and collect free and reduced meals (FARM) applications
    • Capture lunch count data
  3. Provide exemplary customer service
    • Manage front desk operations including:
      1. Answering phone calls
      2. Responding to emails
      3. Communicating with families, teachers and school staff
      4. Become familiar with students

School Secretary Duties

  • Manage daily student attendance by entering data into PowerSchool, monitoring family attendance reports, verifying teachers attendance records, logging attendance concerns, and sending attendance correspondence to parents.
  • Manage NSLP submissions and FARM enrollment applications.
  • Process transcript requests and compliance reports timely and with accuracy.
  • Reporting data at monthly attendance team meetings.
  • Assisting the Director of Enrollment with student enrollment and registration process.
  • Continuously monitor security cameras and report any suspicious vehicles, packages, or persons on the interior and exterior school perimeter.
  • Effectively communicate with students, parents and staff reflecting Yu Ying's cultural values.
  • Handle incoming phone calls, address caller concerns, and deliver messages in a timely manner.
  • Process student tardy slips and input data into PowerSchool.
  • Sort and distribute incoming and outgoing mail.

Qualifications:

  • Associate degree and/or 2+ years experience.
  • Appreciation, experience, and understanding of Chinese culture. Chinese language ability is a plus.
  • Must have technology skills, (e.g. PowerSchool, Google Suite). Experience with Apple computers preferred.
  • Excellent verbal and written communication skills and strong motivational skills.
  • Attention to detail
  • Experience with PowerSchool a plus
