We are seeking a highly organized, detail-oriented Remote Administrative Assistant to join our team and support our leadership with administrative, operational, and clerical tasks.

Position Overview

The Remote Administrative Assistant will provide essential administrative and clerical support to ensure smooth business operations across DIVIETO Ristorante Group. This role requires strong organizational skills, excellent communication, and the ability to handle multiple priorities in a fast-paced hospitality environment.

The ideal candidate will be self-motivated, professional, and able to work independently while supporting different teams across the company.

Key Responsibilities

Provide day-to-day administrative support to executives, management, and operational teams.

Manage calendars, schedule meetings, and coordinate virtual or in-person appointments.

Draft, proofread, and manage correspondence, emails, and business documents.

Prepare reports, presentations, and spreadsheets to support business needs.

Maintain accurate and organized digital filing systems, databases, and company records.

Assist with human resources-related tasks, including new-hire onboarding documentation and employee records management.

Handle expense reports, invoices, and assist with accounts payable/receivable tracking.

Support restaurant operations with ordering supplies, processing vendor documentation, and coordinating communication between departments.

Assist with scheduling, staff communications, and policy updates as directed.

Perform research and provide summaries or recommendations to management.

Provide excellent customer service when interacting with external partners, vendors, or clients.

Other administrative duties as assigned to support organizational efficiency.

Qualifications

Must reside in the United States and provide a valid U.S. government-issued ID.

High school diploma or equivalent required; Associate or Bachelors degree in Business Administration, Hospitality Management, or related field preferred.

Proven experience (2+ years) as an Administrative Assistant, Executive Assistant, or similar role.

Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace tools.

Excellent written and verbal communication skills.

Strong organizational skills with keen attention to detail.

Ability to manage multiple tasks, prioritize, and meet deadlines in a fast-paced environment.

Self-motivated, dependable, and capable of working independently with minimal supervision.

Experience in the restaurant or hospitality industry is a plus.
