Our team is committed to ensuring the highest safety standards for our clients in diverse industries. We are looking for an organized, detail-oriented Administrative Assistant to support our Fire Extinguisher & Hood Department.

Job Summary:

The Administrative Assistant will play a key role in supporting the operations of the Fire Extinguisher and Hood Department. This includes managing schedules, coordinating inspections, maintaining records, and assisting with day-to-day administrative tasks. The ideal candidate will be a proactive, reliable, and efficient individual with strong organizational skills and a keen attention to detail.

Key Responsibilities:

  • Scheduling & Coordination:
    • Schedule and coordinate fire extinguisher inspections and kitchen hood system maintenance for clients.
    • Maintain the department's calendar, ensuring timely follow-ups and meeting deadlines.
  • Documentation & Record-Keeping:
    • Maintain accurate records of inspections, service reports, and certifications.
    • Prepare and update reports on completed services and upcoming appointments.
    • Handle the filing and organization of documents related to fire extinguisher and hood system inspections and services.
  • Client Interaction:
    • Communicate with clients to confirm appointments and provide service reminders.
    • Address client inquiries via phone and email in a timely manner.
    • Assist in handling customer service issues related to fire protection services.
  • Office Support:
    • Process and manage incoming service orders and requests.
    • Assist in ordering and maintaining inventory of fire extinguishers, parts, and related supplies.
    • Perform general office tasks such as data entry, photocopying, and maintaining office supplies.
  • Compliance & Safety:
    • Ensure all fire extinguisher and hood system documentation complies with local and federal regulations.
    • Assist in maintaining records for audits and inspections.



Requirements:

  • Proficient in Microsoft Excel and other MS Office programs
  • Excellent attention to detail and strong organizational skills
  • Ability to effectively manage multiple tasks and deadlines
  • Strong communication and interpersonal skills
  • A positive attitude and ability to work independently as well as part of a team
  • Valid Driver’s License
  • Must pass Pre-employment drug screen and background check
