Job DescriptionWe are looking for an organized and proactive Administrative Assistant to join our team in San Jose, California. This long-term contract position offers the opportunity to support key operations and contribute to the success of our organization. The ideal candidate will bring a detail-oriented mindset and exceptional communication skills to ensure smooth day-to-day administrative functions.

Responsibilities:
• Provide comprehensive administrative support to the estimating and production teams.
• Manage incoming calls and direct them appropriately while maintaining a detail-oriented approach.
• Perform accurate data entry tasks to support documentation and reporting processes.
• Coordinate contracts and subcontractor documentation to ensure compliance and organization.
• Maintain and update office systems and records for seamless workflow.
• Act as the first point of contact for visitors and clients, delivering excellent customer service.
• Assist in preparing reports, presentations, and correspondence as needed.
• Organize and schedule meetings, appointments, and travel arrangements for staff.
• Collaborate with various departments to streamline communication and operational efficiency.
• Handle general office tasks, including ordering supplies and maintaining a clean workspace.• Minimum of 3-5 years of experience in administrative roles, preferably within the construction industry.
• Proficiency in administrative systems, including data entry and documentation management.
• Strong organizational skills with the ability to prioritize and multitask effectively.
• Excellent written and verbal communication skills.
• Familiarity with contract and subcontract administration processes.
• Proven ability to deliver exceptional customer service.
• Proficiency in using office software such as Microsoft Office Suite.
• High level of attention to detail and accuracy in all tasks.
