Position Overview
The Talent Acquisition Specialist is responsible for hands-on ownership of full- lifecycle recruitment of various roles for the firm, which includes developing strategies and partnerships with hiring managers and other stakeholders. The Specialist also partners with other firm members to ensure a positive experience for candidates that leads to a successful onboarding of new hires; coordinates the immigration process; ensures standards and compliance are met; and participates in HR-related projects.
The Specialist will have demonstrated experience in talent acquisition, proficiency with technology and applicant tracking systems, and an ability to devise strategies that attract and retain top talent. This role requires excellent interpersonal skills for working closely with others across various departments.
ResponsibilitiesRecruitment - 75%
- Coordinate with hiring managers to identify staffing needs and candidate selection criteria.
- Create job advertisements and interview questions that reflect the requirements for each position.
- Collaborate with the CFO and HR consultants to establish appropriate salary ranges for open positions.
- Source applicants through job boards, social media, and other channels to find potential candidates and build pipelines.
- Conduct direct outreach to passive candidates to generate interest in open positions.
- Organize and attend job fairs and recruitment events to build a strong candidate pipeline.
- Review resumes and applications, screening for qualifications and fit.
- Conduct phone screenings to evaluate candidates' experience, skills, and interest in the role.
- Provide recommendations to hiring managers based on screening results.
- Coordinate in-person interviews with hiring manager.
- Work with CFO and HR consultants to finalize salary offers.
- Final offer negotiations.
- Draft and extend offer letters and employment agreements to selected candidates.
- Maintain records of all materials used for recruitment, including interview notes and related paperwork, to share with key stakeholders.
- Research and analyze data to develop effective sourcing strategies.
- Advise stakeholders on market trends, talent availability, and compensation insights.
- Partner with third-party vendors to fulfill temporary or internship roles.
Pre-employment and Onboarding - 15%
- Initiate and coordinate background checks and reference verifications.
- Ensure all necessary new hire paperwork is completed accurately and in compliance with company policies and legal requirements.
- Coordinate with management, IT, and facilities on the new hire’s desk and supplies.
- Organize and conduct New Hire Orientation sessions to introduce company policies, culture, and benefits. Coordinate the new hire all-staff announcements.
- Conduct 30,60,90-day follow-up interviews with new staff and report findings to relevant manager and CFO (and HR consultants when applicable).
Immigration - 5%
- Assist with immigration processes for international hires, including work visas, sponsorships, and legal documentation.
- Collaborate with legal counsel and immigration agencies to ensure compliance with visa requirements and deadlines.
- Track visa applications, renewals, and work authorizations to prevent any disruptions.
- Serve as a point of contact for employees regarding immigration-related inquiries and processes.
Other - 5%
- Manage external vendor relationships, track spending and budgets as it relates to the department
- Partner with HR Consultants to develop and revise job descriptions.
- Participate in HR projects as required.
- Update the all-staff phone list, as needed.
- Update the Org Chart, as needed.
- Plan and coordinate lunch and learns, monitor certifications and other developmental programs as needed.
- Other duties as assigned.
Qualifications
- Bachelor’s degree (or equivalent) in human resources management or similar field
- 5+ years of experience in a talent acquisition, onboarding or similar HR roles in professional services environments (architecture or similar fields desired)
- Demonstrated experience in full-cycle recruiting, using various interview techniques and evaluation methods
- Adept with social media recruitment strategies and sourcing from online job boards
- Proficiency in documenting processes and keeping up with industry trends
- Strong knowledge of employment laws and hiring best practices
- Familiarity with the immigration processes including work visas, sponsorships, etc.
- Ability to manage multiple tasks, prioritize and work collaboratively with various departments
- Excellent interpersonal and communication skills
- Sound judgment and ability to ensure confidentiality
- Proficiency of MS Office, applicant tracking systems (ATS) and HR software
