Job Summary
The Patient Care Coordinator is responsible for managing daily front office operations and serving as the first point of contact for patients. This role ensures a welcoming, organized, and efficient environment while coordinating patient scheduling, intake, and communication between patients, providers, and staff.
Job Qualifications:
Physical Requirements
- Ability to sit, stand, and move throughout the office for extended periods
- Occasional lifting of office supplies (up to 20 lbs)

Patient Interaction & Customer Interaction
- Greet patients and visitors in a professional, friendly manner
- Answer incoming phone calls and respond to all inquiries
- Provide clear information regarding appts, services, and office policies
- Ensure a positive patient experience from check-in to check-out
Scheduling & Coordination
- Schedule, confirm, and reschedule patient appts
- Coordinate provider schedules and optimize appt flow
- Send appt reminders and follow up on missed appts
Patient Intake & Documentation
- Collect and verify patient demographics, insurance, and medical information
- Ensure all intake forms and required documentation are completed accurately
- Maintain and update patient records in the EMR system
Insurance & Administrative Support
- Verify insurance eligibility and benefits prior to appts
- Assist with obtaining referrals and authorizations as needed
- Communicate with billing team regarding patient information and documentation
Office Operations
- Maintain a clean, organized, and professional front office
- Monitor office supplies and communicate when things are low
- Scanning, filing, and general administrative tasks
Compliance & Confidentiality
- Follow HIPPA guidelines and maintain patient confidentiality at all times
- Ensure compliance with company policies and healthcare regulations
Education & Experience
- High School Diploma or Equivalent required
- Previous experience in a medical office is preferred but willing to train the right person
- Experience with EMR systems and insurance verification is a plus
