Title of Position: Membership Coordinator and Administrative Assistant

Job Summary
The Membership Coordinator serves as a primary frontline resource for Association members and prospective members. This role provides consistent, high-quality administrative and customer service support related to membership services, onboarding, broker compliance processes, and general office operations. The position requires a high level of accuracy, professionalism, discretion, and adherence to established policies and procedures, while contributing to a positive and responsive member experience.
Primary Duties and Responsibilities
Membership Services & Support
• Serve as the point of contact for current and prospective members in person, by phone, and through electronic communication.
• Respond to routine membership inquiries, providing accurate and timely information regarding Association benefits, policies, and procedures.
• Process membership applications, renewals, severances, and office transfers in accordance with established guidelines and timelines.
• Create, update, and maintain accurate member records within membership databases and MLS systems.
• Assign Supra keys and provide assistance with lockboxes and member store transactions as directed.
• Prepare and issue Letters of Good Standing upon request and in accordance with policy.
Broker Compliance Administration
• Serve as the primary staff resource for day-to-day broker compliance administration under established policies and supervisory oversight.
• Maintain, update, and track LFRO (Limited Function Referral Office) and MLO (Mortgage Loan Originator) records in compliance with regulatory requirements and audit standards.
• Coordinate annual LFRO and MLO renewals, including collection and tracking of required documentation; monitor completion status and follow up with brokers and agents as needed.
• Monitor license status using DRE resources; identify discrepancies, expirations, or irregularities and escalate non-routine issues for review and guidance.
• Prepare routine compliance reports and supporting documentation for internal review and audit purposes.
• Draft and distribute standard compliance notices and reminders using approved templates; elevate exceptions or concerns as appropriate.
Operational & Administrative Support Functions
• Receive and process member payments (cash, check, and electronic) in accordance with established financial controls and procedures.
• Reconcile the cash drawer and prepare daily payment batches for handoff, ensuring compliance with segregation of duties requirements.
• Assist with the coordination and delivery of New Member Orientation sessions.
• Provide logistical and administrative support for meetings, orientations, and Association events as assigned.
• Maintain organized electronic and physical files related to membership, compliance, and financial activities.
• Create and send member correspondence via mail
• Perform routine administrative, clerical, and data entry tasks in accordance with established procedures and service standards.
