Job Summary

The Staff Accountant supports the Accounting Department by performing a wide range of general accounting and administrative duties. This role works closely with the Controller and Senior Accountant to ensure accurate financial reporting, compliance, and efficient accounting operations across A.R. Mays Construction and related entities.

Qualifications and Skills:

  • Minimum of 1-2 yrs of accounting experience
  • Construction or multi-entity accounting experience strongly preferred
  • Exceptional relationship and communication skills
  • Proficient in Microsoft Office
  • Must be a self-starter with a professional demeanor and strong work ethic
  • Highly organized with strong attention to detail and problem-solving capabilities
  • Motivated, driven personality with the ability to work autonomously to deliver results

Duties/Responsibilities (including but not limited to):

General Duties

  • Complete verbal and written requests from the Controller and Senior Accountant accurately and within required timelines
  • Assist with various accounting projects and reports as assigned

Accounting Responsibilities

Sales Tax

  • Assist with researching and responding to sales tax requests from the Estimating Department
  • File multi-state sales tax returns for A.R. Mays Construction and related entities after review

W-9 Administration

  • Oversee W-9 collection, entry, and proper filing to ensure compliance and accuracy

Small Entity Accounting

  • Assist with accounts payable, accounts receivable, cash receipts, and other accounting tasks

Payroll

  • Support payroll processing, employee updates, payroll tax filings, garnishment checks, and 401(k) uploads
  • Assist with other payroll-related activities as needed

Insurance

  • Assist the Controller with insurance renewals, audits, and documentation requests for all entities

1099 Reporting

  • Review 1099 preparation reports to ensure all required W-9s are collected and entered in Sage
  • Assist with filing 1099s through Aatrix and Sage
  • Ensure all supporting documentation is saved and vendor copies are mailed

Income Tax Returns

  • Assist with income tax returns and extensions received from the CPA
  • Maintain organized backup documentation in appropriate network folders

Credit Cards

  • Coordinate credit card administration with the Accounting Assistant
  • Provide backup support as needed

Accounts Payable

  • Coordinate overhead accounts payable with the Accounting Assistant
  • Provide backup support as required

Executive Management Expenses

  • Process and enter executive management credit card reports

  • Assist the Controller and Senior Accountant with additional executive requests
