Event Coordinator Job Description
Are you bored planning the same event experience in the same banquet hall for your clients? From Outdoor Patio happy hours to Shooting Events in our indoor shotgun ranges, to private concerts, to wedding receptions in our banquet hall, and two locations, the possibilities are endless on how you can create the most unique experience for clients!
We are a fast paced, high energy, private club and are seeking a Full-Time Event Coordinator. This role requires the utmost professionalism, timeliness, and the ability to work on multiple events simultaneously. This is a very interactive position and communication is very important. You must be willing to work a flexible schedule including Days, Nights, Weekends, and Holidays. You also must be willing to travel to Powder Springs to manage events at our second location.
Essential Duties and Responsibilities:
Essential duties include, but are not limited to the following:
Plan, Coordinate, Oversee, Communicate, and Execute all Logistics of Assigned Events
Schedule and Conduct Planning Meetings with Clients / Maintain Email Communication
Assist with Site Visits and Phone Inquiries
Knowledge of and Development of Timely BEO Completion
Distribution and Communication of BEOs with Executive Chef, Service Staff, Gun Range Staff, and Client
Creation of Event Invoices in Event Planning Software
Maintain Record of Event Payments in Event Planning Software
Communication of Due Dates and Maintain Event Timelines
Creation and Printing of Menus, Buffet Cards, and Event Signage
Creation of Diagrams / Floorplans
Assist in Event Set-Up and Breakdown
Ability to Build and Maintain Strong Client Relationships
Meet and Exceed Member & Client Expectations

Qualifications:
- 3+ Years Event Coordination Experience Required
Proficiency in Computer Software and Event Planning Software
Hours: Ability to work an open schedule, including evenings, holidays and weekends as necessary to meet the needs of the events. Regular attendance is an essential function of the job.
Physical Requirements:

While performing the duties of this Job, the employee may be required to work outside when events are planned for outdoors. The noise level in the work environment is usually moderate to loud.
