Job Title: Part-Time Veterans Administrative Assistant
Team: Homeless Veterans Reintegration Program (HVRP)
Location: Santa Ana, CA
Compensation: $20/hour

Purpose: America Works of California, Inc., a socially conscious company, is seeking a part-time Administrative Assistant to manage front desk duties and Veteran intake process for a workforce development program. The ideal candidate is highly skilled in computer and customer service skills, welcoming, and passionate about serving disenfranchised populations, especially military veterans.

Duties and Responsibilities

  • Provides administrative support to ensure efficient office operation
  • Outreach and canvas community hubs such as shelters, non-profits, community-based organizations, transitional housing, public libraries, etc. to identify eligible participants
  • Assist clients with intake and enrollment process
  • Greets and provides warm welcome as the initial point of contact for all participants, guests, and partners at the office
  • Utilizes computer systems (Microsoft Office, Salesforce, etc.) to schedule meetings, send emails, and manage files
  • Manages multi-line phone system, screening and prioritizing calls
  • Conducts outreach to program participants via phone, email, and mailers
  • Assist with maintaining and organizing confidential participant files
  • Assist with special projects as needed

Desired Qualifications

  • Must be able to work part-time at least 20 hours a week
  • Minimum of 4-year degree, recent college grads are encouraged to apply
  • Must be proficient in Microsoft Office (Word, PowerPoint, Excel, Outlook)
  • Proficiency in Salesforce, Microsoft Teams, and SharePoint preferred
  • Excellent customer service skills
  • Detail oriented with exceptional organizational skills
  • Strong oral and written communication skills
  • Able to meet deadlines and have a high degree of flexibility to adapt to changing tasks and priorities
  • Should be willing to learn other roles and advance, if the opportunity presents itself
  • Passion for serving individuals from disadvantaged and underserved populations, including but not limited to public assistance recipients, justice-involved individuals, persons with physical and/or mental disabilities, and individuals experiencing homelessness
