Job Summary
The Office Manager facilitates the efficient operation of GUTTS by performing various business development, clerical, and administrative tasks and working closely with the GUTTS team to support and grow GUTTS' success.
Office Manager
Administrative:
- Oversees the day-to-day operations of the GUTTS office to include, but not limited to the following:
- Manages the GUTTS main phone line, handling incoming communications.
- Responds to and resolves administrative inquiries and questions.
- Assist with IT and technologies for GUTTS.
- Ensure GUTTS’ website is maintained and current by collaborating with Marketing position regularly.
- Monitors, manage and orders office inventory to ensure supplies are well stocked.
- Place orders for GUTTS merchandise.
- Oversee customer support processes and organize these processes to enhance customer satisfaction.
- Assist with revising and/or formulating policies and promoting their implementation.
- Assist with managing relationships/agreements with external partners/vendors.
- Onboard new GUTTS employees.
- Maintains filing systems.
Student Services:
- Oversee student services, ensuring that students receive comprehensive support throughout their educational and training journey.
- Student Onboarding
- Answers inquiries and provides screening when necessary.
- Assist with performing in-person tours of the classroom and lab
- Administer student pre-assessments and maintain a file for the documents.
- Register all incoming students to PHCC (Plumbing, Heating, Coolant Contractors) online course.
- Ensure all instructors are registered for the PHCC (online course.
- Provide established educational, training and placement information to students the first day of class and throughout the students’ experience.
Offboarding
- Create graduation certificates for each student who successfully completes the program.
- Assist with Creating and formatting resumes for students to support employment placement.
- Assist recruiters in matching employers and candidatesSubmits DPOR (Department of Professional and Occupational Regulation) information and PHCC information for each student after each class concludes.
- Maintain employment placement tracking to include time to placement and job retention.
Accounting:
- Oversee accounts payable and accounts receivable.
- Responsible for maintaining and updating the accounting database, preparing bills, invoices, and managing QuickBooks to ensure payments are posted.
- Track billing for lab supplies.
- Assist with payroll as needed
- Identify discrepancies and resolve billing issues.
- Produce financial reports from QuickBooks and provide accounts receivable monthly reports.
- Perform other duties as assigned.
Requirements:
- Onsite a minimum of 5 days a week (9:00 am – 5:00 pm with first day of class schedule is 7:00 am – 3:00 pm. Lunch break is 30 minutes each day.
- A minimum of 2 years of experience in a office manager or office administrator role.
- Working knowledge of and experience using QuickBooks is required
- Proficiency in Microsoft Office Suite.
- Strong organizational and problem-solving skills.
- Excellent written and verbal communication skills.
