Job Description

The Fleet and Facilities Manager is responsible for overseeing and managing all aspects related to the organization's fleet of vehicles, fleet equipment, and its facilities. This role involves coordinating and optimizing the use of Districts vehicles and facilities to ensure efficient operations and support the organization's overall objectives.

Role and Responsibilities

Fleet Management:

  • Develop and implement fleet management policies, procedures, and best practices.
  • Monitor and maintain a fleet of vehicles, including firefighting apparatus and equipment, ambulances, cars, trucks, vans, and other specialized equipment.
  • Coordinate vehicle acquisition, maintenance, repairs, and disposal processes.
  • Ensure compliance with legal, safety, and environmental regulations related to fleet operations.
  • Analyze fleet data and recommend strategies for optimizing vehicle utilization, fuel efficiency, and cost reduction.
  • Manage relationships with suppliers, vendors, and service providers related to fleet maintenance and services.
  • Other related duties as assigned.

Facilities Management:

  • Oversee the maintenance and operation of Districts facilities, including offices, warehouses, and other premises.
  • Develop and implement facility management plans, policies, and procedures.
  • Coordinate and schedule regular inspections, maintenance, repairs, and renovations.
  • Manage relationships with external contractors, suppliers, and service providers for facility-related services.
  • Ensure compliance with building codes, safety regulations, and environmental standards.
  • Monitor and optimize energy usage and implement sustainability initiatives.
  • Other related duties as assigned.

Budgeting and Reporting:

  • Assist the Logistics Director with the preparation and management of budgets for fleet and facility-related expenses.
  • Monitor expenditures, identify cost-saving opportunities, and ensure financial targets are met.
  • Generate regular reports on fleet and facility performance, including key metrics and KPIs.
  • Provide recommendations for improving operational efficiency and reducing costs.

Team Leadership and Coordination:

  • Supervise a team of fleet technicians, facility maintenance staff, and other relevant personnel.
  • Provide guidance, training, and performance evaluations to team members.
  • Foster a collaborative and safe work environment.
  • Coordinate work schedules and ensure appropriate staffing levels to meet operational requirements.
  • Other duties as assigned.

Qualifications and Education Requirements

  • Proven experience in fleet management, facilities management, or a related field.
  • Strong knowledge of vehicle maintenance, fleet operations, and related regulations.
  • Familiarity with building maintenance, safety protocols, and facility-related systems.
  • Excellent organizational and problem-solving skills.
  • Strong leadership and team management abilities.
  • Proficient in using fleet management software, facility management systems, and MS Office Suite.
  • Exceptional communication and interpersonal skills.

Preferred Skills

  • Analyzing fleet management problems, evaluating alternatives, and recommending methods, procedures, and techniques for resolution of issues.
  • Assessing, analyzing, identifying, and implementing solutions to fleet management problems.
  • Tracking and analyzing vehicle and equipment costs and usage patterns.
  • Managing multiple projects and prioritizing multiple tasks and demands.
  • Advanced mechanical skills and knowledge of plumbing, HVAC, and other building systems.
  • Proficiency with repair tools and techniques.
  • Using initiative and independent judgment within established procedural guidelines.
  • Managing staff, delegating tasks, and authority.
  • Operating a personal computer utilizing standard and specialized software.
  • Maintaining and analyzing fleet management records and files.
  • Degree in logistics or accounting.
  • Promoting and enforcing safe work practices.
  • Establishing and maintaining effective working relationships with co-workers.

Additional Notes

Prefer that candidate have a working knowledge of the latest business policies and regulations and demonstrate analytical and business insight.

WORK ENVIRONMENT

While performing the duties of this job, the employee is frequently exposed to outside weather conditions, extreme cold, and extreme heat. The employee is occasionally exposed to wet and/or humid conditions; moving mechanical parts; lifting objects up to 100 pounds; high, precarious places; fumes or airborne particles; toxic or caustic chemicals; risk of electrical shock; and vibration. The noise level in the work environment is usually moderate.
