Job Description

Savin Engineers is seeking a Program Administrator to support School Construction Projects. Program Administrator plays a central role in supporting the effective operation of the Program. This position provides oversight and coordination of program activities, working closely with the Program Coordinator and other support staff.

  • As primary clerical support, assist in developing meeting notices and minutes, RFPs, Agreements, Notices to Proceed, Evaluations, requests to contractors and professional services for information, etc.
  • Coordinate Request for Proposal (RFP) development process, interfacing with Program personnel, legal counsel, and Owner’s Executive Assistant in development, approval, and distribution.
  • Lead the process for scheduling and orchestrating interviews of candidate firms for Program work.
  • Develop and gain approval for Purchase Orders to acquire Owner-supplied items using ProjectSight software.
  • Interface with vendors of Owner-supplied materials and services. Collaborate closely with vendor Accounts Receivable groups to ensure payments are made in a timely fashion. Ensure the Program has vendor/contractor information available for making payments. Monitor delivery of materials to job sites to confirm invoices and coordinate delivery issues with Construction Managers.
  • Be the main Program contact to the Construction Manager for Change Order intake. Assist the Program Coordinator by entering Change Order information into ProjectSight and in gaining approval by Program and Owner.
  • Assist the Program Coordinator in gathering deliverable documentation and closeout documents from projects.
  • Assist Program Coordinator in gathering “start-up” documentation from bid winning contractors. This includes insurance certificates, bonding documents, personnel contact information, etc.

Education and Qualifications:

  • Associate or Bachelors in Business Administration, Construction Mgmt or related field
  • Proficiency in MS Office (Word, Excell, Outlook and PowerPoint).
  • Strong organizational and communication skills
