About the Role
We are thrilled to expand our team and areseekinga compassionate and dedicatedMedical Assistant serving our patients and training as a Reimbursement Administrator to play a pivotal role in ourBountifulmedical office, supporting ourpatientsand contributing to the smooth running of our clinic.This is a dual-function, full-time role designed to keep our clinic running smoothly both at the patient care level and on the billing and reimbursement side.

When patient volumes and schedulingdemand it, you will work directly alongside our clinical MA team, providing hands-on patient support for our TMS,Spravato, and ketamine treatment programs. In quieter patient-facing moments, you will shift focus to monitoring, correcting, andoptimizingour ADS (Advanced Depression Services) billing and reimbursement operations. This role is ideal for someone who thrives in a fast-paced clinical environment, genuinely cares about patients,and alsohas the tenacity and attention to detail needed to advocate foraccuratereimbursement.
Key Responsibilities
Patient Care & Medical Assistant Duties
- Deliver compassionate, empathetic care to patients receiving TMS,Spravato, and ketamine treatments throughout their visits
- Answer incoming calls promptly and professionally, serving as a warm first point of contact for patients and families
- Schedule and confirm patient appointments, coordinate follow-ups, and manage scheduling workflows
- Verify insurance coverage and obtain prior authorizations asrequired
- Create andmaintainaccurate, complete patient charts in the EMR
- Respond to prescription refill requests in coordination with providers
- Handle incoming calls from patients enrolled in advanced depression treatment programs, providing guidance and escalating appropriately
- Administer and monitor TMS,Spravato, and ketamine treatment sessions under provider supervision and per clinic protocols
- Collaborate daily with front desk staff, providers, and fellow MAs to ensure patients are supported at every touchpoint
Billing & ADS Reimbursement Administration
- Monitor billing and reimbursement activity for TMS,Spravato, and ketamine patients on an ongoing basis
- Identifyclaim errors, missing documentation, underpayments, and denial trends and take corrective action
- Rebill, correct, and resubmit claims as needed to ensureaccurateandtimelyreimbursement
- Draft andsubmitappeals for denied or underpaid claims with supporting clinical documentation
- Communicate with insurance payers to resolve billing disputes and verify claim status
- Track outstanding reimbursements and escalate aged or complex issues to theappropriate teammembers
- Maintain organized records of billing activity, appeal outcomes, and payer correspondence
- Collaborate with providers and clinic leadership toidentifydocumentation gaps thatimpactreimbursement
Qualifications
Required
- High school diploma or GEDrequired; Medical Assistant certification (CMA, RMA, or equivalent) strongly preferred
- Prior experience in a clinical or medical office setting
- Familiarity with insurance verification, prior authorization processes, and medical billing basics
- Strong verbal and written communication skills, with an ability to interact warmly with patients in sometimes difficult emotional situations
- Demonstrated ability to collaborate effectively across clinical and administrative teams
- High degree of organization, accuracy, and persistence especially when managing ongoing billing follow-up
Preferred
- Experience with TMS,Spravato, ketamine, or other advanced depression treatment billing and reimbursement
- Knowledge of ADS (Advanced Depression Services) billing codes and payer requirements
- Experience working with denial management and insurance appeals
- Familiarity with EMR/EHR systems and medical billing platforms
- Background in behavioral health, psychiatry, or neurology clinic settings

Schedule: Monday-Friday, Approximately 8:30 am - 5:30 pm
This position is full-time time working 35+ hours per week in ourBountifuloffice.
