Job Description

Job Description

We’re hiring a Production Coordinator to support day-to-day sample development, vendor communication, and production tracking. You’ll partner with Operations and Product to keep calendars, POs, and quality moving—end to end.
This is a New York–based, on-site role in our Manhattan studio.

Responsibilities

Vendor Communication (Mandarin): Coordinate daily with overseas factories (email/WeChat); translate specs, confirm materials/finishes, and clarify sample comments and revisions.

Sample Development: Open sample requests, track rounds, label/organize incoming samples, record comments, and route approvals.

PO + Timeline Management: Create/update POs, WIP trackers, and production calendars; follow up on milestones (materials in, bulk start, QC, ship date).

Specs & BOMs: Maintain accurate tech packs/BOMs (measurements, color/finish, hardware, packaging, GS1 barcodes, inner/outer packs, carton marks).

Quality & Compliance: Support PP approvals, collect test reports/photos, assist with AQL checks, and log defects/solutions.

Costing Support: Request quotes, record costs/MOQs, and update cost sheets; flag variances vs. targets.

Logistics Hand-Off: Assemble packing lists/commercial invoices as needed; align incoterms/HS codes; coordinate specialty shipments.

Documentation: Keep production folders tidy—specs, approvals, POs, WIP notes, shipment ETAs, vendor contacts.

Cross-Functional Help: Prep samples for press/retail buyers; support launch readiness; assist at trade shows/market appointments as needed.

Qualifications

Required: Professional proficiency in Mandarin Chinese (reading, writing, and speaking) to communicate daily with overseas suppliers and review Chinese-language specifications.

1–3 years in production/PD/operations (accessories or hardgoods preferred); strong internships considered.

Strong English communication; clear, concise updates and documentation.

Exceptional organization and follow-through; comfortable juggling multiple timelines.

Solid Google Sheets/Excel (filters, lookups, pivot basics); accurate data entry.

Working knowledge of tech packs; Adobe Illustrator basics a plus.

Familiarity with PLM/Airtable/Monday and platforms like Shopify/ShipHero helpful.

Understanding of incoterms, basic customs docs, and AQL concepts is a plus.

Must be NYC-based and available on-site; occasional early/late vendor calls across time zones.

What We Offer

Hands-on training across sampling, bulk production, QC, and international logistics.

Impact at a design-driven, fast-growing brand with room to grow your scope.

Exposure to global retail partners and real small-batch manufacturing processes.
