Laramie Montessori Charter School is seeking a highly organized, welcoming, and detail-oriented Administrative Assistant to support the daily operations of our school. This position provides confidential administrative, clerical, communication, bookkeeping, attendance, and front-office support to the Director, staff, students, and families.

The ideal candidate will be dependable, professional, and able to manage multiple responsibilities in a busy school environment while maintaining warmth, confidentiality, accuracy, and calm communication. This position plays an essential role in supporting the mission of Laramie Montessori Charter School, which is to support the development of the whole child through an authentic Montessori environment that honors the child’s intrinsic motivation to learn and supports each individual’s unique intellectual, physical, social, and emotional development.


Job Functions and Responsibilities

The Administrative Assistant shall:

Greet and assist students, families, staff, visitors, and community members in a welcoming, professional, and helpful manner.

Provide confidential administrative support to the Director and school staff, including preparing correspondence, forms, reports, meeting materials, and other documents.


Support daily school operations, including attendance, student records, family communication, calendars, scheduling, supply orders, and general office organization.


Maintain accurate manual and electronic records, including student information, employee records, financial records, reports, forms, and other school documents in accordance with school procedures and legal requirements.


Assist with attendance procedures, including tracking absences, communicating with families, researching discrepancies, and supporting accurate student data reporting.


Coordinate communication between the school, families, staff, the district, and outside agencies as needed.


Support financial and bookkeeping processes, which may include deposits, purchase orders, invoices, reimbursements, budget tracking, supply orders, lunch balances, and other monetary processes.


Assist with substitute coordination, staff coverage communication, work orders, facility use requests, volunteer coordination, and other operational needs.


Support school events, meetings, programs, announcements, family events, and special activities by helping with planning, communication, materials, and logistics.


Monitor the school entrance, visitor check-in/check-out procedures, building cameras, and other safety systems to help maintain a safe and secure school environment.


Assist students who come to the office for illness, injury, behavior support, or other needs, and contact families or appropriate staff members as necessary.


Provide basic health office support when the nurse or designated health staff member is unavailable, including documentation, parent contact, medication procedures as trained, and following school health protocols.


Maintain confidentiality regarding students, families, staff, records, and school matters.


Communicate clearly and respectfully with diverse individuals and groups, including students, families, staff, board members, district staff, and community partners.


Prioritize tasks, meet deadlines, manage interruptions, and remain flexible in a fast-paced school environment.


Attend staff meetings, training, and in-service meetings as requested.


Perform other related duties as assigned to support the efficient and effective functioning of the school.

Knowledge of grammar, punctuation, professional correspondence, and business telephone etiquette.


Ability to gather, organize, and maintain accurate data and records.


Strong problem-solving skills and the ability to use good judgment.


Ability to work collaboratively as part of a school team.

Requirements:Minimum Qualifications

Job-related experience with increasing levels of responsibility is preferred.Experience in a school, office, administrative, bookkeeping, customer service, or clerical setting is preferred.High school diploma or equivalent required.Additional job-related education, training, or coursework is preferred.Must be able to pass all required background checks and district/school clearance requirements.


Work Environment

This position is performed in a school office setting with frequent interaction with students, families, staff, and visitors. The position requires the ability to sit, stand, walk, use office equipment, manage interruptions, lift or carry office supplies as needed, and respond calmly to daily school needs.
