Accounting & Payroll Specialist

Position Summary

We are seeking a detail-oriented and dependable Payroll Specialist to join our team. This position is responsible for processing accurate and timely payroll for employees while ensuring compliance with company policies and federal, state, and local regulations. The Payroll Specialist will work closely with Human Resources, Finance, and management to maintain payroll records, respond to employee questions, and support payroll-related reporting and audits.

Key Responsibilities

  • Process bi-weekly payroll accurately and on time through the UKG HRIS System
  • Review employee timecards, PTO, sick leave, and payroll adjustments for accuracy
  • Maintain payroll records, employee deductions, garnishments, and direct deposit information
  • Ensure compliance with federal, state, and local payroll laws and regulations
  • Assist with benefits deductions, wage changes, bonuses, and commissions
  • Respond to employee payroll inquiries in a professional and timely manner
  • Reconcile payroll reports and assist with audits as needed
  • Prepare payroll-related reports for management and accounting teams
  • Coordinate with HR regarding new hires, terminations, status changes, and leave of absence updates
  • Maintain confidentiality of employee and payroll information
  • Support the UKG payroll system updates, testing, and process improvements
  • Assist with year-end processing including W-2 preparation and distribution

Duties and Responsibilities:
· Manage month-end closing process.
· Prepare, review, and distribute monthly graphs and charts.
· Prepare, review, and distribute daily reports.
· Review and analyze monthly and year-to-date financial statement account activity for reasonableness
and completeness, re-classing entries as need, prior to issuing financial statements.
· Prepare, code, document, and post various monthly journal entries.
· Reconcile various general ledger accounts
· Participate in ad hoc projects and analyses as needed.
· Work with other departments and outside vendors to ensure timely, professional resolution to inquiries and issues.
· Holds administrator roles for bank accounts, enter and post various items into the Accounts Payable Module.

Qualifications

  • Bachelor’s degree preferred
  • 5+ years of payroll processing experience preferred
  • Knowledge of payroll systems such as UKG, ADP, or similar platforms
  • Strong understanding of payroll regulations and wage laws
  • Excellent attention to detail and organizational skills
  • Strong communication and customer service abilities
  • Proficient in Google Gmail, Google Docs and especially Excel
  • Ability to handle confidential information with professionalism and discretion

Preferred Skills

  • Experience with multi-state payroll processing
  • Knowledge of payroll taxes and benefits administration
  • Ability to work in a fast-paced environment and meet deadlines
  • Strong problem-solving and analytical skills
  • UKG experience helpful
