A dynamic investment and property management firm is seeking an Executive Assistant to support its leadership team. In this pivotal role, you will manage scheduling, meeting set up and coordination, anticipate needs and serve as an administrative backbone in driving organizational efficiency. We have a hybrid work model with the expectation of 4 days minimum in the corporate office to collaborate, innovate, and celebrate and this is subject to change based on business needs.

Primary Responsibilities

  • Manage calendars, schedule meetings, and coordinate appointments and travel for executives
  • Prepare and edit correspondence, reports, presentations, and other documents
  • Handle confidential information with discretion and professionalism
  • Act as a liaison between executives and internal/external stakeholders
  • Plan, coordinate, and execute meetings and special events
  • Track and follow up on key action items and deadlines
  • Maintain expense reports and code and submit for executives' credit card expenditures
  • Monitor and prioritize incoming communications
  • Maintain and organize electronic filing systems
  • Serve as back-up support for Investor Relations
  • Other duties as trained for and are qualified to do

Knowledge, Skills and Abilities

  • Proven experience as an executive assistant, administrative assistant or similar role
  • Extremely detail-oriented
  • Excellent time management and organizational skills
  • Strong written and verbal communication skills
  • Ability to multi-task and follow through
  • Discretion and confidentiality are a must
  • Self-starter with a proactive attitude and strong problem-solving skills
  • Ability to respond to others' needs in a timely and courteous manner

Education and Technical Experience

  • Minimum 3 + years of experience in an Executive Assistant or high-level administrative support role
  • High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Bachelor's degree preferred
  • Associate's degree with relevant experience may be acceptable

The market-based salary range for this position begins at $85,000, commensurate with experience, (plus additional bonus incentives). The final salary offered will generally fall within this range and is dependent on various factors including but not limited to the responsibilities of the position, experience, skill set, internal pay equity and other relevant qualifications of the applicant.
