Position Summary:

The Payroll Specialist is responsible for processing multi-state payroll in an accurate, timely, and compliant manner. This role involves collecting and verifying timekeeping data, computing wages, resolving discrepancies, and ensuring employees are paid correctly. The Payroll Specialist must provide excellent customer service, maintain confidentiality, and support continuous improvement and innovation within the payroll function.

Essential Duties and Responsibilities:

  • Process multi-state payroll using ADP Workforce Now and Kronos with high accuracy and efficiency.
  • Collect, verify, and audit timesheets and employee data to ensure accuracy.
  • Maintain up-to-date payroll records for hires, terminations, transfers, and promotions.
  • Research and resolve timekeeping discrepancies and payroll-related issues in a timely, professional manner.
  • Respond to employee inquiries with excellent customer service and follow-through.
  • Ensure compliance with federal, state, and local regulations as well as company policies.
  • Collaborate with the Payroll Supervisor on audits, process improvements, and special projects.
  • Maintain strict confidentiality of payroll data and employee information.
  • Generate and audit payroll reports and summaries, support reporting standardization and automation.
  • Support payroll innovation by identifying opportunities to improve workflows and reduce manual tasks.
  • Provide cross-functional support and perform other related duties as assigned.

Required Qualifications:

  • High school diploma or equivalent.
  • Minimum of 2 years of payroll processing experience, including multi-state payroll.
  • Experience with ADP and Kronos timekeeping systems.
  • Knowledge of payroll regulations, including federal, state, and local tax laws.
  • Strong data auditing and reporting skills.
  • Proficient in Microsoft Excel and other Microsoft Office applications.
  • Strong attention to detail and ability to manage high volumes of data accurately.
  • Excellent communication and problem-solving skills.
  • Ability to work independently and collaboratively in a team environment.
  • Willingness to work overtime during peak periods (e.g., holidays).

Preferred Qualifications:

  • Associate’s degree in Accounting, Business, or related field.
  • Bilingual in Spanish.
  • Experience with payroll system upgrades, implementations, or integrations.
  • Desire to grow within the role and contribute to an evolving payroll department.
  • Experience supporting continuous improvement or automation initiatives.

Physical Requirements and Work Environment:

  • This position requires frequent use of a computer, sitting for extended periods, and occasional lifting of materials up to 25 pounds. May require occasional schedule flexibility during payroll processing cycles.
