Job Title: Office Administrator (Fleet Operations)
Location: St. Louis, MO

We have teamed up with one of the largest outside electrical contractors delivering electric infrastructure services to utility, industrial, commercial, governmental, renewable, energy storage, and EV charging customers in need of an Office Administrator in the St. Louis, MO area.
POSITION SUMMARY:
Our client is seeking a detail-oriented and proactive Office Administrator to support the Vehicle Fleet Operations team in our St. Louis office. This role is responsible for providing administrative and operational support while assisting with the coordination, documentation, and compliance tracking of company fleet vehicles. The ideal candidate is highly organized, thrives in a fast-paced environment, and enjoys supporting field operations and leadership teams.
RESPONSIBILITIES:
- Serve as the administrative support for the St. Louis office.
- Maintain office organization, supplies, and general administrative workflows.
- Support scheduling, communication, and documentation across internal teams.
- Assist leadership with reporting, tracking, and operational coordination.
- Coordinate day-to-day fleet activities for utility program vehicles.
- Track vehicle assignments, availability, and operational needs.
- Maintain accurate fleet documentation including registrations, inspections, and compliance records.
- Schedule vehicle maintenance, service appointments, and repairs as needed.
- Communicate with field technicians regarding vehicle access and fleet related updates.
- Support fleet operations in alignment with safety policies and utility program requirements.
- Assist with onboarding/offboarding processes related to fleet vehicle usage.
- Provide documentation support for audits, reporting, and internal program needs.
- Other administrative duties as needed.
QUALIFICATIONS:
- Minimum of 2 years of experience in office administration, operations support, or logistics coordination.
- Strong organizational skills with attention to detail and accuracy.
- Proficiency in Microsoft Office (Excel, Outlook, Word).
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and customer service skills when supporting field teams.
PREFERRED QUALIFICATIONS:
- Experience supporting fleet operations, transportation coordination, or field service teams.
- Familiarity with utilities, construction, or technician-based environments.
- Experience with fleet tracking or asset management software.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of office administration and operational support practices.
- Knowledge of fleet operations, including vehicle documentation, maintenance, and compliance tracking.
- Skill in organizing, tracking, and maintaining accurate records and reports.
- Skill in coordinating schedules, communication, and logistics with internal teams and field personnel.
- Proficiency in Microsoft Office (Excel, Outlook, Word) for documentation and reporting.
- Ability to manage multiple priorities in a fast-paced, onsite environment.
- Ability to communicate effectively with leadership, operations teams, and field technicians.
- Ability to support compliance and process adherence related to fleet and utility program requirements.

PHYSICAL DEMANDS:
- Ability to sit at a desk and work on a computer for extended periods of time throughout the workday.
- Frequent use of hands and fingers to operate a computer keyboard, mouse, and telephone equipment.
- Ability to speak clearly and hear effectively while communicating with customers and team members via phone or headset.
- Ability to maintain focus and attention in a fast-paced call center environment with continuous phone interaction.
- Occasional standing, walking, bending, or reaching as needed within the workspace.
- Ability to lift and/or move office materials or equipment up to 25 pounds on an occasional basis (such as files, boxes of supplies, or small office equipment).
- Ability to work in a seated position while multitasking across multiple computer systems and screens.
- Ability to perform repetitive motions, including typing and data entry, for prolonged periods.
SALARY:
- Up to $23.00 per hour (based on experience)
