Job Summary
We want an organized and proactive Office Manager to oversee the daily operations of our office. We need someone who can learn the ins and outs of how we operate and take responsibility for getting things done on their own. The ideal candidate will play a crucial role in ensuring the smooth functioning of administrative tasks, managing office resources, and supporting team members. This position requires basic knowledge of accounting and bookkeeping, personable skills to interact with our union workers and sales team, and reliability to get payroll, taxes, and compliance reports filed on time. We are especially looking for someone who views this as a career and has long-term vision and ambition in mind for taking on more responsibility.

Work Hours:

Full-time 32-40 hours, with some flexibility.

Standard office hours, with some flexibility.

Duties

  • Intake worker timesheets and prep them for payroll. We work with multiple unions and jurisdictions
  • Create paychecks in Quickbooks weekly.
  • Certified Payroll reporting for jobs with Public Works Projects. OCIP payroll reports.
  • Generate monthly union reports to remit dues and worker benefits.
  • Process timesheets to prep for billing.
  • Prep monthly billing and Schedule of Values (SOV) for our long-term tower crane contracts.
  • Intake mobile crane job tickets and prep invoices for billing customers.
  • Keep records of employee trade certifications and drug tests.
  • Oregon Department of Transportation compliance:
    • Monthly mileage reports and quarterly IFTA filling for CDL vehicles.
    • Over-dimension permit reporting and filing.
    • Vehicle registration and licensing recordkeeping and renewal.
  • Keep records of CDL driver certifications and drug tests for FMCSA compliance.
    • Onboarding CDL driver with FMCSA new-hire record requirements.
  • Credit card reconciliation
  • Contractor prequalification forms

Requirements:

  • Must be within 30 minutes of SW Hillsboro office.
  • Quickbooks experience
  • Priority Skill: DOT and FMCSA compliance experience. We want someone who knows how to manage CDL vehicles and drivers.
  • On-time at the office, dependable on a regular work schedule.

  • Someone who verbally communicates, is patient, detail oriented and collaborative.
  • At least a year of construction admin/office experience and bookkeeping experience.
