Position Summary

The Clark is seeking a Publications Assistant as a vital member of the Publications team. This position serves as a project coordinator for book and exhibition graphics production, developing and maintaining detailed production schedules and collaborating with authors, editors, designers, printers, and others. The Publications Assistant plays a key role in ensuring accuracy, consistency, and accessibility across multiple informational formats and platforms.

Responsibilities include editing and proofreading scholarly and interpretive texts, assisting with image acquisition and rights clearance, tracking project milestones and deliverables, supporting departmental website maintenance and digital content updates, and general departmental support. This position works collaboratively across the institute, including with the Research and Academic Program, the Division of Learning and Engagement, and the Communications, Collections and Exhibitions, and Curatorial Departments, and contributes to the smooth coordination of complex, cross-departmental projects.


Major Duties and Responsibilities (Essential Functions)

  • With guidance from Publications colleagues, manage the book production process, including assisting with developmental and mechanical editing of manuscripts; coordinating with both internal staff and freelance copyeditors, proofreaders, designers, and printers; creating and maintaining project schedules; assisting with image proofing and book production; and liaising with distributors on publication information.
  • With guidance from Publications colleagues, coordinate the exhibition graphics process, including developing production schedules and organizing kickoff meetings; shepherding texts through developmental and mechanical editing; liaising with project teams to develop appropriate designs; coordinating with outside production teams; and proofreading materials prior to installation.
  • Assist with the external distribution of complimentary copies of new publications to rights holders, authors, copyeditors, designers, and other contributors; compile and maintain in-house distribution spreadsheets; and coordinate distribution with inventory managers.
  • Play an active and creative role in developing the annual Clark Journal.
  • Assist with publications in the Clark Studies in the Visual Arts
  • Assist with the Bloomberg Connects app.
  • Support the institutes commitment to accessibility by helping ensure that publications and exhibition materials reflect institutional interpretive goals and inclusive editorial practices.
  • Assist with maintaining the Publications Department pages on the Clarks website and promoting Clark publications.
  • Assist with mailings and scanning for the Publications Department as needed.
  • Maintain the departments digital and paper filing systems and production calendar.
  • Other duties as assigned.


Minimum Qualifications

Education, Training, and Traits

  • BA or BFA preferred


Work Experience

  • One year of relevant experience preferred
