About The Treetop The Treetop ABA Therapy provides clinic-based, in-home, and community-based ABA services for children ages 2–18 across Arizona, Georgia, Massachusetts, New Mexico, Oklahoma, and Colorado. Our mission is to empower children with autism through evidence-based treatment and meaningful collaboration with families, schools, and providers.

Our Savannah clinic is growing, and we're looking for an experienced and compassionate Operations Manager to help lead our team and ensure the clinic runs smoothly and efficiently.

Position Summary

As the Operations Manager at our Savannah clinic, you'll play a central role in clinic administration, scheduling, and staff support. You will ensure that front-office operations, staff coordination, and client scheduling run efficiently while fostering a positive, family-centered environment.

This position also includes a community-facing component. You'll engage with local schools, organizations, and professionals to promote awareness of our services and help grow the clinic's presence in the community.

You will work closely with the Clinic Director and serve as a go-to resource for staff and families, ensuring high-quality service and a warm, welcoming clinic atmosphere.

Key Responsibilities

Clinic Operations

  • Oversee daily administrative functions of the clinic
  • Maintain clinic policies, scheduling systems, and reporting procedures
  • Monitor performance metrics, including utilization and scheduling efficiency
  • Manage inventory, supplies, and vendor coordination
  • Ensure the clinic meets cleanliness, safety, and compliance standards

Scheduling & Coordination

  • Manage and maintain staff and client schedules for therapy sessions
  • Address schedule changes, cancellations, and staffing adjustments
  • Work closely with clinical staff to match clients with appropriate technicians
  • Use scheduling software to track and maintain up-to-date calendars
  • Communicate with families regarding schedule changes and updates

Team Support & Leadership

  • Support behavior technicians and administrative staff, including onboarding and training
  • Partner with the Clinic Director to ensure adequate staffing and smooth daily operations
  • Help maintain team morale and contribute to a positive, inclusive clinic culture
  • Provide resources and guidance to support technicians on the clinic floor

Facility Oversight

  • Maintain a clean, organized, and safe clinic environment
  • Coordinate repairs, maintenance, and sanitation procedures
  • Monitor therapy rooms and common areas to support effective service delivery

Compliance & Documentation

  • Maintain organized and accurate records for clients and employees
  • Ensure compliance with HIPAA, state regulations, and internal policies
  • Conduct regular audits to ensure licensure, documentation, and safety standards are met

Community Outreach & Marketing

  • Develop and maintain relationships with community partners, schools, and providers
  • Represent The Treetop at local events and outreach opportunities
  • Contribute to marketing strategies to increase clinic visibility and referrals

Financial Support

  • Assist with budget management and supply ordering
  • Support billing and documentation processes to ensure timely and accurate service reporting

What We're Looking For

Required Qualifications:

  • At least 2 years of experience in ABA therapy, healthcare administration, or a related field
  • Experience in scheduling and front office management
  • Strong customer service background and interpersonal communication skills
  • Ability to work independently and as part of a team
  • Organized, detail-oriented, and skilled at multitasking in a busy clinical environment

Preferred Qualifications:

  • RBT certification or experience in an ABA clinic setting
  • Experience with marketing, outreach, or community engagement
  • Leadership experience in a healthcare or behavioral health setting

Schedule

  • Full-time: Monday–Friday between 7:30 AM – 4:30PM (flexible within clinic needs)
  • Occasional Saturdays may be required for staff training or special events
