The Practice Operations Manager is responsible for the daily operational performance of assigned clinic locations, ensuring smooth, efficient, and patient-centered operations in this busy Dermatology Group Practice. This role bridges the gap between on-site teams and central administration while providing front line management to assigned locations. The successful candidate will be able to maintain excellence in service delivery, staff coordination, and regulatory compliance. The Operations Manager partners closely with the Controller for administrative and financial continuity and works collaboratively with the Executive Advisor to uphold policies, compliance standards, and best practices.
Full time, Mon-Friday.
Key Responsibilities include:
1. Operations Oversight
- Oversee day-to-day operations of practice sites, ensuring efficient workflow, adherence to policies, and optimal patient satisfaction.
- Manage facility maintenance, vendor relationships, and supply chain functions (ordering, inventory control, cost management).
- Coordinate with the Controller to monitor operational budgets and implement cost-control measures.
- Ensure CLIA compliance for in-office labs and coordinate with Dermatopathology team on laboratory and safety standards.
2. Staff Supervision and Support
- Provide direct supervision to the front-line team members and leads.
- Oversee onboarding and training for new hires; ensure adherence to orientation and competency standards.
- Partner with Executive Advisor for performance evaluations, disciplinary actions, and staff development.
- Foster a positive, accountable, and collaborative work culture aligned with the organization’s mission and values.
3. Scheduling and Workforce Management
- Oversee schedules to ensure adequate coverage and efficient patient flow.
- Coordinate time-off requests, shift coverage, and cross-training to minimize disruption to patient care.
- Identify staffing needs and perform recruiting, interviewing, and onboarding of new team members.
4. Quality, Compliance, and Patient Experience
- Partner with the Executive Advisor to implement and monitor quality assurance programs, including MIPS and internal audits.
- Support adherence to regulatory standards (HIPAA, OSHA, CLIA, TMB, and payer compliance).
- Respond promptly to patient feedback and operational challenges, ensuring issues are resolved with professionalism and care.
5. Communication and Leadership Coordination
- Act as liaison between clinical sites and central leadership (Controller, President, Executive Advisor).
- Attend management meetings and prepare operational reports as requested.
- Escalate HR or compliance issues appropriately to the Controller or Executive Advisor
- Ensure consistent communication and alignment across all clinics regarding policy changes, procedural updates, and initiatives.

Requirements:
Location: On-site (Houston Area Clinics)
Qualifications Education & Experience
- Bachelor’s degree in healthcare administration, business, or related field (required), Master's Degree Preferred.
- Minimum 7 years of progressive and demonstrated management experience in a multi-site medical or dermatology practice (required).
- Knowledge of CLIA regulations, OSHA, HIPAA, Texas Workforce Commission standards.
- Familiarity with EHR systems (e.g., EMA, ModMed, or comparable) and medical billing workflows preferred.
