Job DescriptionThe Franchise & Compliance Support Specialist delivers comprehensive administrative support for franchise administration, healthcare compliance, and legal operations. This role is responsible for preparing and maintaining a variety of franchise-related documents, including RFDs, amendments, and addendums, while ensuring accuracy and compliance with established standards.

Key responsibilities include managing updates within tracking systems, coordinating information for internal announcements, and assisting with the Franchise Disclosure Document renewal process. The specialist maintains accurate records within the Contract Management System and supports healthcare compliance initiatives.

Additional duties include providing cross-departmental administrative support, monitoring shared inbox communications, and serving as backup to the Paralegal as needed. The role also ensures adherence to lease requirements and facilitates timely distribution of documents to internal teams.Responsibilities

  • Create RFD drafts including new, expansion, transfers/acquisitions, and renewals
  • Create amendment and addendum drafts such as Minimum Start Dates, zip code, medium density, expansion option, change of ownership, Microsoft Teams, etc.
  • Respond to requests for information on items such as confirmation of terms, updates to tracking sheets, copies of documents, etc.
  • Provide information for announcements & ABS updates including agreements signed, entity established for new owners, ownership changes, agency openings and closures, etc.
  • Complete other duties as assigned by Manager, Franchise Administration and Chief Legal & Government Affairs officer
  • Update Contract Management System as needed
  • Complete SmartSheet tracking updates for various projects including lease reviews
  • Assist in annual Franchise Disclosure Document renewal process
  • May provide back-up support to the Paralegal
  • Provide back-up support to Manager, Franchise Administration & Healthcare Compliance, including assistance with communications, SOPs and document / information retrieval
  • Monitor and manage Healthcare Compliance hotline, including responding to basic calls and then sending more complex inquiries to the relevant stakeholders
  • Prepare and manage front line risk assessment for healthcare compliance
  • Day to day responsibility for ensuring education and training requirements are met for franchising staff
  • Prepare and email the bi-monthly list of agencies to internal teams
  • Monitor, properly route, and when appropriate, respond to messages in the Franchise Administration inbox or escalate as necessary
  • Review and approve leases and responsible for sending bi-annual reminder for lease compliance


Required SkillsEDUCATION

  • Minimum of a high school diploma is required
  • Associates or Bachelor’s Degree preferred but not required

EXPERIENCE

  • Minimum of 2 years of experience in contract management, franchise administration, or paralegal work
  • Minimum of 1 year of experience with healthcare compliance

SKILLS/ABILITIES

  • Strong proficiency in Microsoft Office Suite and other office systems
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • Ability to manage multiple tasks, prioritize work, and meet deadlines in a fast-paced environment
  • Skilled in document preparation, data entry, digital and paper filling, and recordkeeping
  • Professional and courteous interpersonal skills with a customer service mindset
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Dependable, adaptable, and proactive in resolving administration issues and supporting team needs
  • Comfortable operating standard office equipment and using virtual collaboration tools (e.g. Teams, Zoom, etc.)

WORKING CONDITIONS

  • The working hours should be Monday-Friday from 9:00am-5:00pm Central Time
  • Work is in a fast-paced, ever-evolving environment
  • Travel requirements: 5-6 times annually to the corporate office in Bannockburn, IL
